Job Details

The College of New Jersey (TCNJ) is a highly selective institution that has earned national recognition for its commitment to excellence. Off-Site Graduate Programs (OSGP) in the School of Education establishes and maintains TCNJ graduate programs at international and domestic host sites. Off-Site students take TCNJ graduate courses at one of six overseas locations or in school districts throughout the State.

OSGP is seeking a full-time, 12-month Program Assistant to provide support to the Assistant Director and Faculty Director. Essential duties will include:

  1. General office management, to include maintenance of office calendar, scheduling/locating meeting space, and preparation of meeting materials
  2. Maintain course schedules and class rosters to determine enrollment
  3. Update student/faculty/staff manuals as needed
  4. Quick Admit non-matriculated graduate students
  5. Register/drop students for off-site graduate courses
  6. Create grade rosters and assist with course and instructor feedback process
  7. Work with college offices to help students with matriculation, enrollment, graduation, and certification processes and to develop/update queries to pull appropriate data
  8. Provide general information to prospective students
  9. Collaborate with college offices to help students with tuition-related procedures
  10. Instruct students and provide training on how to access and use TCNJ Account Manager, PAWS, Canvas and other technologies
  11. Maintain timely correspondence with students via email, mail, telephone, and in-person appointments
  12. Create check requests
  13. Assist with creation of instructor travel instructions, per TCNJ's travel policy, and process instructor reimbursements
  14. Update OSGP website and social media accounts
  15. Assist with creating advertising and marketing materials
  16. Represent TCNJ at on and off-campus recruiting events and information sessions, as needed

Requirements

  1. Bachelor's Degree (or approved equivalent number of years working) and experience working in or managing a professional office environment
  2. Advanced proficiency in Microsoft Excel, Word and Google Suite
  3. Excellent organizational and time management skills with meticulous attention to detail
  4. Ability to take initiative, multi-task, work independently and also as part of a team
  5. Strong interpersonal skills including the ability to establish and strengthen working relationships and the ability to resolve conflicts/seek out solutions with thoughtfulness and maturity
  6. Exceptional communication skills including careful listening, professional writing and public speaking
  7. Ability to comprehend and apply established policies and procedures

Preferred Qualifications

The ideal candidate would have experience and comfort in the following areas:

  1. Education and program coordination
  2. Customer service
  3. Providing training to individuals and groups
  4. Collaborating across departments and with diverse constituents
  5. Web design and/or marketing
  6. Familiarity with TCNJ technologies
  7. Ability to occasionally travel off-campus to represent OSGP at recruiting events or information sessions

This position includes a comprehensive benefits package including health, dental, and prescription plans, as well as well as retirement, sick and vacation leave, and tuition savings programs. This position is a New Jersey Civil Service position and carries the state title Program Assistant. The salary range for Program Assistant begins at Range P16, Step 1, $42,895.85. It is included for membership in the Communication Workers of America bargaining unit. Permanent appointment is contingent upon the successful completion of a 4-month probationary period to access the ability to perform the essential functions of the position.

Campus

Student Life

Athletics

High achievement and scholarship in the classroom have been mirrored by the success of The College of New Jersey’s varsity student-athletes. Since the 1978–79 Lion wrestling team captured the College’s first National Collegiate Athletic Association (NCAA) team championship, TCNJ has established itself as one of the nation’s most successful Division III (non-athletic scholarship) programs. Since 1979, The College of New Jersey has amassed a total of 39 Division III crowns in seven different sports. In addition, the Lions have posted 32 runner-up awards, giving the College an aggregate of 71 first- and second-place finishes. That figure is tops among the nation’s 400-plus Division III colleges and universities during the past 30 years. The Lions have also produced 58 Division III CoSIDA First Team Academic All-Americans.

As impressive as the overall athletic record is, TCNJ’s accomplishment as a leader in women’s sports is even greater. Since NCAA Championships were initiated for women in 1981, only TCNJ has won 32 Division III team championships. The total does not include the Lions’ lacrosse championship in 1981 or the softball championships in 1980 and 1981, which were sponsored by the AIAW (Association for Intercollegiate Athletics for Women) prior to women’s sports inclusion in the NCAA. In the fall of 1999, TCNJ’s women’s athletic program was voted as the top Division III institution for female student-athletes by Sports Illustrated for Women.
