Job Summary Requisition Number: 29248 Job Title: ADMINISTRATIVE ANALYST Working Title: Grants Analyst Salary: $23.04 - $45.54 hourly Job Type: Career Department Name: 0518-CALIF NANOSYSTEMS INSTITUTE Department Website URL: www.cnsi.ucla.edu Job Summary Statement: Under the supervision of the Research and Program Development Director, the grants analyst will serve as a member of the California NanoSystems Institute (CNSI)'s grants management team. The grants management team provides contract and grant submission and fund management support for CNSI faculty, as well as supports research program development activities within the Institute. In close coordination with the Institute's Senior Research Managers, serve as contract and grant pre- and post-award administrator for a portfolio of assigned grants. Work with Office of Contract and Grant Administration (OCGA), Extramural Fund Management (EFM), Principal Investigators, Agencies, and Institute financial staff on contract and grant awards from proposal to award to fund closing. Provide monthly reconciliation and financial status reports for all active awards, including projection of anticipated salary and expenses. Responsible for accuracy and thoroughness of all reports. Responsible for establishment and monitoring of subcontract and consulting agreements, including monitoring expenses of contractors and ensuring that restricted purchases are handled according to University policy. Working with OCGA and EFM, responsible for ensuring that all required financial reports are appropriately drafted and submitted and ensuring that funds are properly closed. Grants Analyst completes transfer of funds (TOFs) and salary and expense transfers using on-line systems as necessary. Grants analyst will coordinate CNSI pilot funding programs as part of the Institute's research mission, and will provide coordination assistance for CNSI research seminars, luncheon series, and other research program initiatives as determined by the Institute leadership (including speaker recruitment, meeting scheduling, and administrative follow up). Familiarity with federal government policies and procedures governing appropriate grant related expenditures. Preferred Experience with contract and grant pre-award submission and post-award administration, including annual reports, fund close outs, no cost time extensions, and special agency requests. Preferred Ability to work independently or as a team member to accomplish specific goals. Required Ability to work collaboratively in a team oriented work environment. Required Ability to take direction from multiple sources and to prioritize work assignments based on conflicting deadlines. Required Experience with University personnel/payroll policies and procedures. Preferred Hands-on experience with contracts and grants management, financial management, budget development and generally accepted accounting practices. Required Experience with UCLA online financial and contracts and grant systems. Preferred Interpersonal skills to effectively interact with professionalism and a customer service focus. Required Ability to communicate effectively in writing, in person and by phone. Required Organizational skills to manage deadlines and competing priorities. Required Computer skills to prepare and monitor fund expenditure reports, correspondence, databases, calendars, etc using programs such as Word, Excel, Outlook, and UCLA online accounting systems.
