Cañada College, which was designated as a Hispanic Serving Institution in approximately 2000, is part of the San Mateo County Community College District, which currently enrolls approximately 23,000 students, the majority of whom are from minoritized populations. Of the students at Cañada College, 3.0% are African-American, 0.1% are American Indian, 11.1% are Asian, 3.7% are Filipino, 36.8% are Latinx, 1.4% are Pacific Islander, 25.8% are White, 15.1% are Multi-Ethnic, and 2.9% are unknown.Who We Want

Under general supervision, the Office Assistant II performs detailed clerical and operational support for a department or office. Under direction, the Office Assistant II initiates, implements, and coordinates office procedures and timelines in order to provide support for an office or department. Public contact is extensive, and involves college and District staff, faculty, students, vendors, other educational institutions, business and community representatives, regulatory agencies, and governmental agencies for the purpose of exchanging policy and procedural information. A moderate degree of independent judgment and creativity are required to resolve many minor and occasional major problems that arise, by selecting from among alternative procedures that are available. Consequences of errors in judgment could be costly in public relations, staff and employee time. The Office Assistant II classification can train and lead the work of volunteers and student assistants as assigned.This a temporary, grant funded position that will end on 08/31/2020 and its continuation is contingent upon renewal of grant funding, which will begin 9/1/2020 and end on 8/31/2025. Duties and Responsibilities
The duties below are representative of the duties of the classification and are not intended to cover all of the duties performed by the incumbent(s) of any particular position. 1. Exchanges information with college staff and others regarding department services, as well as to provide operating policies and procedures
2. Interacts with students who are interested in TRIO, already part of the program, and those who are in the Learning Center who need assistance with non-TRIO-related questions
3. Assists in developing and maintaining communication to students, TRIO staff, and other school employees regarding subjects pertaining to the program
4. Screens calls, visitors, and electronic inquiries to provide policy and procedural information and/or to take messages and make appropriate referrals
5. Modifies and extracts information from BLUMEN, TRIO’s database
6. Inserts student appointments that were completed, event attendance, and other information
7. Performs queries using BLUMEN in order to retrieve reporting data for mailings and other reports
8. Works with Director on Annual Performance Review (APR) report by extrapolating information using sources such as Websmart, BANNER, BLUMEN, and student files
9. Processes expenses
10. Sets up and tracks a variety of departmental purchases, expenditures, and files; orders supplies
11. Attends meetings and other events to obtain and provide current information
12. Maintains TRIO website and calendar
13. Makes travel arrangements for staff, including pre-trip approval forms to be submitted to Budget Office, making airline, hotel, conference and shuttle reservations, and assisting with Travel Expense Reports after trip
14. Trains and leads TRIO Student Ambassadors
15. Uses a variety of computer software to set up, track, and maintain a wide variety of data and electronic and manual files and to perform data entry and retrieval
16. Composes and prepares correspondence, memoranda, report narratives, forms, publicity materials, and other materials from copy or with general instruction
17. Uses standard software applications to prepare correspondence and reports, agendas and meeting minutes, and spreadsheets
18. Compiles items and materials for meeting agendas
19. Schedules and proctors student placement and other tests and scores tests using well-prescribed methods and follow-up
20. Takes and transcribes meeting notes as assigned
21. Sorts and distributes department mail as needed and coordinates bulk mailings
22. Performs other related duties as assignedMinimum Qualifications
• Graduation from high school and college courses in business administration, office administration, or a closely related field OR an equivalent combination of education and experience
• Successful general clerical experience of increasing responsibility
• Demonstrated cultural competence, sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty, and staff
• Experience with the organization and maintenance of electronic and manual files and records
• Experience with the use of a variety of computer software to compose and prepare correspondence, forms, reports, presentations, and other written materials
• Demonstrated skill in working as part of a customer service teamKnowledge, Skills and Abilities
1. Knowledge of office organizational procedures including workflow, current office equipment, supplies, file systems, and computer applications
2. Skill in multi-tasking and workload prioritizing under deadline pressure
3. Skill in use of the Microsoft Office Suite and web-based content management systems

This classification requires manual dexterity; use of a keyboard, mouse and computer for extended periods of time; pulling, pushing, reaching; and moving items of light to moderate weight in order to perform the essential functions.Preferred Qualifications Benefits
