Duties: This position is responsible for independently coordinating, planning and managing the logistics related to the named lectures, special workshops, national and international symposia, and site visits with national and international organizations pursuing programs similar to ITMAT as well as recruitment efforts sponsored by the Institute for Translational Medicine and Therapeutics. This includes contacting external constituencies of importance, developing an agenda to meet with internal individuals, coordinating travel arrangements, developing marketing materials related to the events, and managing and reconciling expenditures. Manages the faculty affairs process which includes all processes and documentation associated with the appointments and promotions process; this includes maintaining FEDs, completing dossiers, preparing packages for submission to Provost for the division; responsible for the medical staff privileges process for those faculty requiring staff privileges. This individual is also responsible for compiling complex material for large grant submissions which includes complying with the PMCID regulations, preparing and maintaining NIH Biosketches, and solicitation of relevant materials for large scale, multi-disciplinary, multi-institution grant proposals. This position is responsible for maintaining and updating the Institute's websites which is comprised of over 750 pages and maintaining the Institute Listserv. In addition, this individual will provide financial and administrative support to the Chief Operating Officer for Clinical and Translational Science and Corporate Alliances and will serve as a backup to the Executive Assistant for the Chair/Director. The individual will be responsible for the coordination and management of ITMAT's pilot grant programs and all tracking mechanisms for reporting to the PSOM administration and the NIH. The position will be responsible for purchasing transactions for the Institute.

Qualifications: Bachelor's Degree in business, finance or marketing is required and at least 2 years to 3 years of relevant experience, or an equivalent combination of education and experience. 3 to 5 years of experience preferred. Experience planning large education events is highly desired. Evidence of effective customer service, team work and collaboration. Strong communication skills. Ability to handle multiple priorities and projects to deadline.
