To assist the Coordinator of Events Services, Senior Event Coordinator, and the Director of Meetings, Events and Conferences with the preparation and implementation of selected events, to assist in developing departmental systems and checklists. This role reflects the significance of events in promoting a spirit of interdepartmental cooperation and building external community support.Responsibilities
Responsible to model the University Mission through dedicated job performance, service excellence to constituencies, respectful collaboration and active support of the University’s Mission and Catholic and Lasallian higher education.
-University Event Planning and Development.
-Assist the professional staff with the design, development, and implementation of arrangements for events.
-Assist with the preparation of needed materials for events.
-Organize and integrate needed support services (i.e. Campus Security, cleaning services, etc.)
-Solicit services and send confirmation paperwork.
-Participate and assist during various event-day activities.
-Prepare computer-generated signs for events.
-Deliver and set up materials at event locations on University grounds. Work cooperatively with all university departments to provide necessary support.
-Prepare and place necessary directional signage for events.
-At the request of the professional staff, order and/or contract special equipment or services for the events when needed (i.e. entertainment, lighting, audiovisual equipment.)
-Establish and maintain a check-out system of department event equipment (i.e. directional sign, pedestal signs, podium, etc.)
-Establish and maintain an appropriate events record-keeping system which will include outcome evaluations of events as well as an evaluation of provided services to the university.
-Comprehensive University Space Utilization and Event Scheduling: Work cooperatively with the professional staff to establish and maintain a university-wide computer networked system of scheduling for all campus space, including parking areas.
-Monitor and communicate to the professional staff when scheduling conflicts occur.
-Submit appropriate paperwork to the professional staff and confirm University Events and appropriate function space (including parking) on the University Master Calendar.
-University Image Enhancement/Marketing through Events: Work with the professional staff to support and promote the need for and significance of internal University events and external conferencing events to the University community while establishing opportunities to promote Lewis University at outside events. ’
Bachelor’s degree required. Must be enrolled in a Lewis University Graduate School program. Must possess initiative, self-motivation and be detail-oriented, Must possess an excellent knowledge of the English language, including spelling, punctuation, and grammar. Must be able to lift and transport heavier items for event set-ups such as portable podiums, easels, etc, Must have basic knowledge of set-up and operation of different audio/visual equipment such as overhead projectors, TV/VCR’s, etc, Must be skilled in computer usage and typing, and Must be willing to work with flexible schedules involving evenings, weekends and holiday hours.Preferred Qualifications Essential Duties Work hours
