Job Summary

The Assistant Director of Campus Life, Volunteer Programs is responsible for the development and execution of service learning and volunteer initiatives, including management of the AmeriCorps National Service Grant. The Assistant Director will recruit, train, supervise, and evaluate AmeriCorps members and other student volunteers, coordinate volunteer and cultural development opportunities for students, and manage the administrative functions of the Clayton State University AmeriCorps National Service Grant funded by the Georgia Commission for Service and Volunteerism, including reporting on member progress, grant performance measures, data collection on program outcomes, establishing and maintaining communication with service sites, and compiling and submitting budget reports. This position is a full-time grant-funded position that reports directly to the Associate Director of the Department of Campus Life with grant oversight from the Executive Director of the Student Activities Center. This position has frequent late night and weekend work requirements.

Responsibilities

Develop a process to recruit, interview, and screen all potential AmeriCorps members that represents the overall diversity of the community they will serve. Train, develop, supervise, evaluate, and retain selected AmeriCorps members throughout their term of service.

Establish and maintain appropriate host sites for AmeriCorps member placement. Train site supervisors on program requirements, AmeriCorps member approved and prohibited activities, and performance measures and program outcomes in accordance to the Host Site Agreement to ensure timely reporting to the grant funder. Conduct regular site visits and provide technical support to sites as needed.

Coordinate volunteer projects for the campus community and AmeriCorps members; organize, schedule, and promote service initiatives for Make a Difference Day, MLK Jr. Day of Service, 9/11 Day of Remembrance, Welcome Week, National AmeriCorps Week, Alternative Winter/Spring Break, and other designated service days. Respond to inquiries regarding volunteer opportunities on- and off-campus; track volunteer hours and develop a volunteer recognition program.

Conduct program evaluation and reporting, including conducting mid-service and end of service evaluations for members; submission of quarterly progress reports; assist with grant renewal submissions; and report on volunteer outcomes for end of year program assessments.

Actively participate in managing the budget of the program; work cooperatively with financial and leadership staff to develop practices that effectively plan for and manage program funds and provides for accurate and complete disclosure and documentation of the financial status of the AmeriCorps program; develop financial and non-financial support including, but not limited to, creating a sustainability plan, identifying potential sources of funds, develop partnership proposals, and secure adequate cash and in-kind match. Submit monthly periodic expense reports to the Georgia Commission for Service and Volunteerism.

Manage and maintain all administrative functions of the AmeriCorps Grant as required by the Georgia Commission for Service and Volunteerism, including but not limited to maintaining physical files and vital documents; maintaining AmeriCorps time records using an electronic database to track member hours; prepare and submit quarterly performance updates; enroll and exit members as required by grant provisions. Develop, maintain, and regularly update the AmeriCorps member handbook and the AmeriCorps Program Policy and Procedures Manual.

Attend meetings, conferences, serve on university committees and all other duties as assigned that support the mission of Campus Life, Student Affairs, the University, and the Commission for Service and Volunteerism.

Required Qualifications

EDUCATION REQUIREMENT

Bachelor’s Degree required; Master’s Degree preferred.

EXPERIENCE REQUIREMENT

Minimum of one-year experience working in program development and implementation; experience developing and coordinating volunteer activities; some experience working with college-age students in a developmental and educational capacity.

KNOWLEDGE

Working knowledge of issues facing higher education and a basic understanding of student development theory; Knowledge of the mission and objectives of the University, AmeriCorps, and the Corporation for National and Community Service; knowledge of trends in collegiate volunteering, service learning and student engagement in community issues; working knowledge of state and federal grant provisions.

SKILLS

Excellent interpersonal and communication; computer literacy and high skill level with MS Office suite; Strong writing, research and analytical/problem solving skills.

Ability to plan, organize and supervise community service projects and volunteers effectively; ability to maintain accurate and confidential records; ability to establish and maintain positive, effective working relationships with AmeriCorps members, partners in the community, and campus constituents; ability to prioritize work assignments and work under general supervision; exercise independent judgment and decision-making; ability to communicate effectively in English, both orally and in writing; proven ability to interact effectively with a diverse student body; high degree of flexibility, initiative and commitment; demonstrated ability to work effectively as a member of a team.

Organization

The University first opened in September 1969 as Clayton Junior College with Dr. Harry S. Downs as founding president and an enrollment of 942 students. The Board of Regents of the University System of Georgia elevated it to baccalaureate status as Clayton State College in 1986 and university status as Clayton College & State University in 1996. The school’s current designation as Clayton State University was approved in 2005.

clayton_state_university2.jpgSince Downs’ retirement in January 1994, the University has had two presidents; Dr. Richard A. Skinner, who took office upon Downs’ retirement, and Dr. Thomas K. Harden, who took office in June 2000. When Harden was named chancellor of the University of Wisconsin Green Bay, Dr. Thomas J. "Tim" Hynes, Jr., was appointed interim president, starting on May 18, 2009. The current enrollment is in excess of 6,000 students and the school provides a multitude of undergraduate degree credit programs that—in the words of the university’s mission statement—provides "career-oriented education with a solid liberal arts foundation."

In addition to more than doubling its undergraduate degrees over the past 10 years, Clayton State also has added seven graduate programs in the past three years. The first, the Master of Arts in Liberal Studies, began in 2006. Since then, the Master of Science in Nursing, the Master of Health Administration and the Master of Business Administration all began in 2007, and the Master of Arts in Teaching (MAT) programs, MAT - English and MAT - Mathematics, in 2009. The Master of Archival Studies is scheduled to begin in 2010.

The past five years at Clayton State have also been highlighted by the establishment of the first joint state and federal archives facilities adjacent to campus, the institution of a comprehensive strategic planning process, the reaffirmation of the University’s accreditation by the Commission on Colleges of the Southern Association of Colleges and Schools and the opening of the Clayton State – Fayette instructional site in Peachtree City. In a six week period between August and October 2008, the University dedicated three new buildings; the University’s first student housing, the Student Activities Center and a new building for the AACSB-accredited School of Business.

Clayton State is also home to Spivey Hall, the finest small performance facility in the Southeast. First opened in 1991, Spivey Hall is known locally, nationally and internationally for presenting the best in jazz and classical music as well as an education outreach program that serves tens of thousands of school children from throughout metro Atlanta annually.
