Job Summary Requisition Number: 29408 Job Title: ADMINISTRATIVE SPECIALIST Working Title: Program Coordinator Salary: $20.89 - $41.37 hourly Job Type: Contract Department Name: 4800-VICE CHANCELLOR, STUDENT AFFAIRS Department Website URL: https://www.studentaffairs.ucla.edu/about/leadership-sa Job Summary Statement: Under the direction of the Office of the Vice Chancellor Student Affairs (OVCSA) Administrative Manager, the OVCSA Program Coordinator will provide assistance related to the strategic planning and management for Student Affairs emergency planning, web and communications support, and office administration coordination and duties. The position will provide executive level support for the daily activities of the Executive Director of Student Affairs Initiatives (EDSAI), including calendar duties, meeting preparation, correspondence, leadership programs (including meetings, trips, receptions, and professional development offerings), and special projects. The Program Coordinator will provide administrative and project support to the Student Fee Advisory Committee (SFAC) and Global Citizens Fellowship (GCF) program, Vice Chancellor of Student Affairs (VCSA) initiatives, as well as assist, as necessary, with organizational event planning and coordination. The position is supervised by the OVCSA Administrative Manager and the individual will work closely with the Administrative Manager, the EDSAI and the VCSA to carry out the activities and duties of the OVCSA. Required (2) Working knowledge of UCLA Campus and Student Affairs policies and procedures. Preferred (3) Analytical skills to review documents, information, situations and procedures in order to identify any discrepancies or potential problems, and generate alternatives or offer solutions and/or methods of implementation, based on existing guidelines, and/or discern when action of higher level is needed in a detail-oriented manner. Required (4) Expert skill in applying general accounting and audit principles and practices. Required (5) Ability to work independently, organize work, set priorities that accurately reflect the relative importance of job responsibilities, handle several projects simultaneously, and adapt to frequent schedule changes and interruptions. Demonstrated skill in assessing timelines and coordinating numerous assignments and projects simultaneously under heavy and constantly fluctuating workloads and conflicting deadlines. Skill in organizing material and information in a systematic manner to maximize efficiency and minimize duplication of effort. Required (6) Ability to diplomatically handle difficult or urgent matters in a confident and proficient manner, and to maintain confidential and sensitive information with tact and discretion. Required (7) Ability to communicate clearly and concisely to convey appropriate messages, give instructions and obtain information. Skill in writing concise logical, and grammatically correct business correspondence and procedures. Required (8) Ability to exercise decision-making and approval authority on full range of administrative issues. Required (9) Ability to establish and maintain cooperative working relationship with administrators, faculty, staff members, media and the public. Demonstrated interpersonal skills for purposes of collaboration, negotiation and information exchange at a variety of levels. Demonstrated ability to work collaboratively as part of a highly visible team interacting in a cooperative and professional manner. Required (10) Ability to gather and analyze data from multiple sources, with an ability to prepare written or verbal summaries and reports. High level skill in using EXCEL, WORD and POWERPOINT to analyze data and develop reports. Required (11) Demonstrated skill in managing, organizing and following through on assignments and projects with minimum supervision. Skill in maintaining a system of documentation, materials, manuscripts, correspondence, budgets, billing, and other files. Required (12)Ability to maintain consistent and punctual attendance. Must be able to work occasional evenings. Required (13)Demonstrated computer proficiency and skill in programs such as Microsoft Office, project management, graphic and database software systems. Preferred (14) Demonstrated skill in using web content management systems and social media platforms. Preferred (15) Bachelor's degree.
