Job Description:
Responsibilities:
Provides administrative support and customer service to employees, applicants, visitors and Human Resources staff (as assigned) by striving to identify their needs and to either provide the information directly or refer them to the appropriate person. This may include: answering the telephone, taking messages and/or forwarding calls, providing kiosk assistance and guidance, and responding to emails to provide general Human Resources information regarding procedures, data, jobs or forms.

Supports the employment function by:
  • Greeting applicants and answering their questions
  • Explaining kiosk and application procedures and job opening searches.
  • Completes new hire employment related processing (i.e. e-verify).
  • Responds to questions and provide guidance in the use of Temporary, Volunteer and Affiliate Agreement forms, processes background checks and entering individuals in the HRIS system.

Responsible for all aspects of employee unemployment.

Provides new hire support in obtaining Furman University Identification Cards.

Assists the Benefits Manager in delivering the following services: wellness, biometric screening, health coach visits and orientation.

Responsible for employee recognition initiatives: such as the retirement luncheon and the service awards luncheon.

Assist with employee onboarding.

Planning and delivery of professional development.

Assists with temporary staffing needs, in conjunction with temporary staffing agency.

Participate on various committees as assigned by the Assistant Vice President for Human Resources.

Establishes and maintains the Human Resources office files, including completion of the annual records retention review and file purge procedures.

Develops, formats, edits and types memos, letters, reports and labels.

Completes employment verification requests.

Prepares documents, makes copies and prepares packets for distribution.

Maintains sufficient inventory of office supplies, standard forms and paper. Ensures supplies are organized and readily available as needed.

Maintain general cleanliness of the front office area and desk, file room and kitchen areas.

Processes the mail by sorting it and forwarding it to the appropriate person.

Assists, coordinates and/or participates in the Human Resources events as assigned.

Regular attendance that is punctual and dependable is required.

Maintains the office calendar and scheduling of meetings.

Assists the Assistant Vice President for Human Resources in scheduling appointments and committee meetings and coordinating meeting rooms and food service requests.

Schedules Human Resources Conference Room and other conference rooms as needs for HR events and activities.

Assists with the Tuition Grant Program (i.e. mailing forms to colleges, maintaining records for each student, and requesting and mailing checks).

Assists with the Job Related Tuition Program (verify initial forms, verify completed class and receipt of payment, request reimbursement check).

Verify forms for dependents using the Furman University Tuition Program and the Tuition Exchange program according to policy guidelines.

Maintains department website.

Prepares and submits department invoices.

Format and edit Professional Development and HR Update newsletters.

Pursues professional development to keep pace with demands for Human Resources services and information, including maintaining up-to-date information about the department and the university.

Performs other duties as assigned by the Vice President for Human Resources. The intent of this job classification description if to provide a representative summary of the types of duties and responsibilities that will be required of positions in this classification and shall not be construed as a declaration of the specific duties and responsibilities of any particular position. Employees may be requested to perform job-related tasks other than those specifically present in this description.

Responsibility for Final Decisions:
Responsible for own work. May assist or instruct others doing similar work.

Tasks involve multiple procedures with interrelated processes or steps. Work involves choosing the appropriate option or procedure to follow and applying established rules and procedures.

Errors may be detected with the department or section in which they occur, but may affect the work of others within the unit to trace errors and make corrections.

Reports to: Assistant Vice President for Human Resources

Work Conditions:
Work is performed under usual office conditions.

  • Frequent shifts in priorities
  • Handling of multiple tasks
  • Meeting daily deadlines
  • Handling confidential data
  • Ability to lift 30 lbs.

Qualifications:
Associates Degree with prior work experience in a Human Resources office is preferred.

Three (3) or more years of clerical and administrative experience in a professional administrative office is preferred.

Advanced knowledge of Microsoft Applications, specifically Word, Excel and PowerPoint.

HRIS experience is preferred.

Working knowledge and ability to update website.

Excellent organizational and communication skills (both written and verbal).

Excellent time management and organizational skills with ability to meet established deadlines.

Ability to multitask and shift priorities on a routine basis.

Adherence to confidentiality.
