The Administrative Assistant II is an part-time position with a flexible schedule, working up to 19 hours per week. May be called as work demands increase, up to 19 hours per week. Reporting to the Provost's office, the primary duties of the Administrative Assistant II-PT will be providing clerical and administrative support for the divisions under the Provost's office.

ESSENTIAL FUNCTIONS

  • Performs broad administrative and staff support duties for the GGC campus
  • Performs receptionist, general clerical, and project related functions for the various departments on campus
  • Answers telephones, schedules meetings, prepares various payment-related documentation, resolves administrative inquiries and problems
  • Liaises between departments to resolve day-to-day operational and administrative issues
  • Provides campus-wide office coverage, as needed
  • In conjunction with Supervisor, collaboratively develop yearly performance management goals
  • Performs other duties, as assigned
Minimum and Preferred Qualifications:REQUIRED QUALIFICATIONS
  • High School diploma or GED.
  • One to three years of previous Administrative Assistant or related experience
  • Proficient typing skills
  • Demonstrated knowledge of MS Office, including PowerPoint, Excel, and Microsoft Word
  • Willingness to attend on-campus administrative and professional development training
  • Excellent communication skills
  • Ability to respond to various audiences accurately and calmly
  • Ability to be flexible with regard to weekly schedule and assignments
  • Ability to make decisions without immediate supervision
  • Ability to quickly assess needs and requirements of students and visitors
  • Ability to maintain confidentiality
  • Strong commitment to multicultural ideals and valuing diversity campus goals
PREFERRED QUALIFICATIONS
  • Four or more years of previous Administrative Assistant or related experience
  • Experience in higher education
  • Enthusiastic and outgoing demeanor

Position may require local travel. Ability to lift and carry files and materials. Ability to move from one office to another office on campus. Adequate vision, hearing and manual dexterity to interact with people in person, on the phone and in writing.
