I. JOB OVERVIEW

Job Description Summary:

Reporting to the Director of Communications and Outreach, the Event Planner is responsible for coordinating high quality events and activities. The core responsibilities of this position includes collaborating with internal stakeholders such as GWLAI staff, faculty, student organizations, and departments; collaborating with external partners and vendors; assisting and contributing to the coordination and logistics of all aspects of conferences, meetings and events (pre-planning, onsite execution and post event wrap up); assisting with the scheduling and booking of event space; providing coordination to ensure event success; executing logistic details such as attendees experience, onsite client management, and setting up rooms and cleaning up catering.

The Event Planner is responsible for maintaining event calendars; coordinating registration, attendee tracking and other logistics; assisting with post-event details such as surveys, tracking invoices and costs; assisting with promotional activities to include the library website, GW calendar, and social media; implementing targeted marketing to specific departments or student organizations; serving as an on-site manager for all events or coordinating with available staff to arrange for their support; and preparing and communicating event documents and logistical instructions to entrance staff and supporting staff.

The position is based at GW’s Foggy Bottom Campus in Washington, DC. The incumbent may perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:
  • Project Management capabilities, ability to manage timelines and track workflow of competing projects.
  • Strong computer and software skills to include use of content management software to edit for web, use of google documents and folders, and various social media channels.
  • Excellent written and verbal communication skills.
  • Extreme attention to detail.
  • Excellent customer service skills and the ability to communicate with a wide variety of guests, vendors and clients in a professional manner.
  • Ability to push wheeled chairs, tables, and carts and be able to bend and lift up to 15 lbs.
  • Familiarity with academic environment.
  • Bachelor’s Degree is preferred.
