To support the Division of Graduate Medical Sciences by providing technical assistance and skilled administrative support to BUSM faculty and investigators in both the development and management of institutional training grants (including but not limitd to Ts, Fs and R25).

Depending on project, duties will include:

Training Grant Management Responsibilities:

1. Coordinating all training-grant related activities, including appointment and termination of trainees using Xtrain, collection of relevant and communications regarding training-related activities, and trainee performance metrics

2. Maintaining accurate database of student application and enrollment information, faculty participation on training grants, and other data required for creation of NIH Data Tables

3. Creating and updating text and templates for key sections of training grant proposal, including facilities & resources for the University, training in the responsible conduct of research, recruitment activities for underrepresented minorities, etc.

4. Coordinating with faculty and department administrators to collect and update faculty mentor information, including biosketches, other support, and publications of trainees

5. Assist programs in planning and execution of training grant activities (seminars, workshops, retreats etc)

6. Assist in track trainee outcomes

Proposal Development Responsibilities:

1. Serving as the administrative lead in the development of all components of a training grant proposal and interfacing with Sponsored Programs for accurate and timely submission

2. Reviewing and interpreting sponsor regulations, contacting sponsors to clarify guidelines, and ensuring guidelines and eligibility are compliant with University policy

3. Interpreting and documenting proposal requirements for investigators and creating timeline and action plan for PI to ensure submission will be compliant with University submission policy

4. Interfacing with sponsor application systems to completing application forms

5. Leading development of budgets consistent with sponsor requirements and University policies

6. Obtaining, preparing, and organizing required proposal documents, including development of data tables and collection of faculty mentor information, while ensuring compliance with sponsor guidelines

7. Identifying the need for and assisting in obtaining institutional support letters and approvals

8. Obtaining all applicable compliance forms and documentation of internal approvals (e.g cost sharing, F & A waiver/reduction, internal forms) required for University authorization to submit proposal

9. Training faculty and students, in formal and in-formal settings, on proposal development process for training grants

10. Special projects as assigned by Associate Provost for GMS or Director of the Office of Proposal Development

The Training Grant Specialist will report to the Associate Provost for the Division of Graduate Medical Sciences, but will work closely with the Director of the Office of Proposal Development on proposal development activities. The Training Grant Specialist will also work in collaboration with faculty and staff in Graduate Medical Sciences, individual departmental administrators, and the Office of Sponsored Programs as required. This position will interact with faculty and staff across the BU campus.

Required Skills

Bachelor’s degree required; 1-3 years experience working in an academic setting; knowledge of grant/contract regulations and standard proposal requirements; familiarity with the process of developing grant proposals; solid experience with data management and program assessment. Individual must be highly organized, detail-oriented, able to multitask, and possess strong communication and customer service skills. This individual must be able to work independently, but also serve as a productive member of the GMS team. Must be trustworthy to handle sensitive grant related documents and keep information confidential. Some evening and weekend work may be required depending on needs of project.
