Assistance in the administration of the various programs and activities of the Office of Lifelong Learning for W&L alumni, current and past parents, and friends. Programs include the established W&L Alumni College and W&L Traveller and other emerging innovative activities and programs under creation involving the campus, alumni chapters, affinity groups, and electronic and print media. The goal is to inform and engage alumni and parents with W&L faculty in order to ensure W&L remains a central part of their lifelong learning through University Advancement.

Status:  Full-Time, 12 Month, With Benefits
Work Hours: Monday-Friday, 8:30am-4:30pm. with evening, weekend and travel required. 
FLSA:  Exempt
Minimum Pay: $45,775

Essential and Related Functions:

  • Coordinates with the Director overall workflow of the Lifelong Learning Office.
  • Assists the Director, the Vice President for University Advancement, and other related staff in the creation, planning, and sustaining of new opportunities for Lifelong Learning programs as captured in the Vice President’s 11-9-18 document Further Thoughts on Planning for the Decade Ahead: Enhanced Lifelong Learning at Washington and Lee as the thoughts are dynamically refined and further defined.
  • Assists the Director in creating a detailed annual plan of Lifelong Learning activities for the new academic year, based partly on the analysis and evaluation of the previous year’s programs, events, and content creation and distribution.
  • Manages office and individual program budgetary accounts and works with other staff on the payment of bills, preparation of invoices, and processing of registration payments in a timely and accurate manner.
  • Serves as principal liaison with Alumni Affairs and University Communications for all website content and updates and electronic communications for Lifelong Learning programs.
  • Oversees program registrations, ensuring that deadlines are met and accurate information is conveyed to participants. Coordinates data entry and retrieval and mailings with Alumni Affairs and Advancement Operations using Raiser’s Edge and including the compilation of address lists for special mailings and the creation and execution of online registration portals for events and programs.
  • Requests briefing information through Advancement Operations and produces attendee lists through Raiser’s Edge and distributes information to appropriate staff.
    Coordinates with the Director with input from other related staff Lifelong Learning program topic selection and faculty participation for all Lifelong Learning programs and serves as on-site host for Alumni College campus programs.
    Maintains written and oral communication with travelers through travel updates, evaluations, and follow-up contacts with travelers in hosted trips.
  • Supervises all work/study student assistants and temporary help throughout the year and ensures specific duties are clear and well executed.
  • Oversees the preparation of materials specific to each program for all participants and oversees onsite attendee check-
    in/registration process including staffing.
  • Assists with the preparation of all printed and electronic publications promoting Lifelong Learning including the W&L Alumni College, W&L Traveller, and other Lifelong Learning programs.
  • Works to develop close and collegial relationships with Advancement and other staff involved as partners in lifelong learning at W&L.
  • Coordinates the scheduling, meal plans, and room assignments for Lifelong Learning programs with Special Events Office.
  • Participates in Advancement events and meetings, attends the annual Educational Travel Conference, and participates in other official activities as determined by the Director.
  • Assists Alumni Affairs staff as required for major campus alumni events and help draw attention to Lifelong Learning through presence and assistance.
  • Other duties and responsibilities as assigned by the Director.

Minimum Qualifications:

Since this position involves the creation and management of lifelong learning programming, the candidate must have at a minimum a college degree with a demonstrated interest in the educational value of domestic and international travel, the liberal arts, reading, and lectures, and other forms of lifelong learning.  The candidate must have a broad interest in people and feel comfortable in a variety of social settings. The candidate must show an inclination to be able to innovate in order to develop and grow lifelong learning opportunities across W&L generational eras.
Requires working knowledge of computers, demonstrated understanding of organizational protocol, with some supervisory experience helpful.  Must possess exceptional organizational skills, ability to communicate effectively verbally and orally with collegiate and adult audiences, ability to work independently and be able to interact effectively in a professional and confidential manner with Advancement administration, faculty, university staff, students, and clients.

Physical Requirements:

  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling.
  • Grasping: Applying pressure to an object with the fingers and palm.
  • Repetitive motions: Making substantial movements (motions) of the wrists, hands, and/or fingers.

Working Conditions:

  • The worker is not substantially exposed to adverse environmental conditions (as in typical office or administrative work).

Types of Work:

  • Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
