I. JOB OVERVIEW

Job Description Summary:

The Office of the Vice President for Research (OVPR) receives a number of award notices, modifications, and funding announcements each year from a wide range of sponsors, supporting all sponsored project activity across the George Washington University’s schools and units. Working as part of the Award Setup and Subaward Management Team, and directly reporting to the Sponsored Projects Manager, Award Setup and Quality Assurance, the Sponsored Project Administrator (Administrator) plays a key role in the setup of awards by managing the award intake process for all sponsored projects at the university.

The Administrator is responsible for managing the communication concerning all new awards and modifications to existing awards. The Administrator reviews and analyzes related documentation to determine the proper course of action for each award. The Administrator also recognizes missing elements of an award and seeks out the correct information. The Administrator is responsible for being well versed in the Office of Sponsored Projects (OSP) policies, processes, and systems.

The Administrator is responsible for initiating the proper workflow for a given task. The Administrator identifies and executes necessary workflow changes and inform all individuals involved. The Administrator ensures the seamless transition of an award to the award setup process. The Administrator implements record retention procedures across OSP that complies with the established GW policies and practices. The Administrator establishes award prioritization for university grants, contracts, and award agreements based on an established matrix and the needs to the university. The Administrator will report any new awards and related activities on a regular basis.

Performs other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

•Proven ability to work effectively in a team environment and the demonstrated willingness to learn and share new ideas.
•Ability to network effectively across groups and personnel within the overall activity process.
•Familiarity with data collection software such as Microsoft Access.
•Strong skills in the following areas:
oDetail oriented
oCustomer service (i.e., placing a high priority on serving all customers , anticipating and responding to the needs of others, following up until needs are met)
oDemonstrates collaborative and respectful behavior
oCommunication – written and oral
oAbility to see the big picture/Organizational Awareness

•Familiarity with award grants and contract document elements including scope and terms and conditions.
•Experience with principles, practices, procedures and regulations related to Federal and non-Federal sponsored research in an academic setting.
•Working knowledge of compliance areas that affect sponsored research such as: Export Control, Human Subjects Research, Animal Research, Conflicts of interest, and financial conflict of interest.
•Working knowledge on CFR Part 200 and the administrative requirements, cost principles, and audit requirements for federal awards.
•Knowledge of standard contractual terms and conditions both Non-federal and federal and how they impact award lifecycle.
•Works independently to prioritize workloads of multiple schools or units.
•Experience with enterprise computer applications and personal computer applications.
•Commitment to operational excellence.
