Work Schedule

Monday through Friday, 8 a.m. to 5 p.m. Occasional weekend and evening work for special events.

Reporting to the Assistant Dean for Student Programs, the Undergraduate Program Administrator will support the extracurricular and co-curricular activities of the School of Social Sciences Gateway Program for undergraduates. The incumbent is responsible for overseeing the practica in law, justice, health, and consulting; the OwlConnect networking events, group student travel to Austin, New York, and Washington, D.C., and Gateway travel grant requests. The position will also support faculty directors in non-departmental academic programs. The successful candidate must be able to collaborate, communicate effectively, prioritize multiple tasks, take a proactive approach to work assignments, and take initiative. This wide range of responsibilities demands great flexibility and excellent work ethic.

- Prior work experience in an academic environment or student programs

Internal / External Contacts

External contacts may be representatives from other academic institutions, companies, alumni and supporters of the school. Internal contacts include members of Rice faculty, student body, and staff administration.

Physical Demands

Requires working at a computer for extended periods. Must be able to move event-related materials to and from event sites. Must be able to lift and carry 10 lb (plus) boxes. Must be able to get to other campus offices or event sites.

Job Duties

- Manages the student practicum application processes
- Works with the Assistant Dean to develop, implement and manage program policies and procedures
- Follows up with practicum participants throughout the semester and conducts end-of-semester student surveys
- Maintains the Gateway website in coordination with other staff and design services on campus; coordinates posting of “student news” stories on Gateway website; maintains an accurate and up-to-date student and volunteer database
- Reviews and processes Gateway travel grant applications throughout the semester
- Represents the Gateway program at campus events for undergraduate students
- Collaborates with campus partners in the Office of Undergraduate Admissions, Office of International Students and Scholars (OISS), Center for Career Development (CCD), and Center for Civic Leadership (CCL), when necessary
- Informs the Dean’s Office Staff of key Gateway activities through periodic progress reports
- Works with non-departmental academic programs in the School of Social Sciences to support faculty program directors and students
- Updates academic program listservs
- Manages the development of practicum opportunities for social sciences undergraduates in consulting, law, justice, healthcare, and finance and banking
- Organizes monthly OwlConnect networking sessions with alumni guest speakers and/or community partners
- Plans and coordinates the logistical aspects of student group travel to Austin (fall semester), Washington, D.C. (spring semester), and New York (spring semester)
