Overview

Macalester College seeks to hire a full-time Administrative Coordinator to support the Provost Office. In this position, you will provide support to the Provost, Assistant Provost, Associate Dean of Faculty, and the Associate Director of Assessment. The ideal candidate will enjoy working on a wide variety of projectsand will be able to communicate effectively with students, staff, and faculty. Maintaining a high level ofaccuracy while managing multiple tasks with frequent interruptions is an essential part of this job.

Responsibilities
  • Engage and build relationships with a diverse community across campus as you provide general administrative support to the Provost office.
  • Responsible for the organization and maintenance of faculty records
  • Maintain a high level of confidentiality while working independently to accurately record, update, and document faculty employment.
  • Initiate and coordinate financial reimbursements for faculty.
  • Assist in the coordination and maintenance of the faculty personnel review process.
  • Provide support for initiatives such as student research presentations, student/faculty research projects, and assessment of academic programs.
  • Provide backup support to the Provost when needed.
Qualifications
  • High school diploma or GED. Associates degree preferred.
  • At least three years of full-time work experience supporting in an administrative capacity in a higher education, corporate, or non profit environment.
  • Advanced knowledge of standard computer software programs such as Microsoft Office and Excel to manage word documents, spreadsheets and basic databases.
  • Willingness to learn assessment applications such as Qualtrix.
  • Demonstrative organizational and problem solving skills and the ability to prioritize your workload while supporting multiple individuals.
  • Interest and aptitude in customer service and interpersonal relations, including strong written and verbal communication with a variety of colleagues and clients.
  • Ability and willingness to respect and commit to embracing diverse backgrounds, values, and points of view in order to foster an inclusive work environment.
  • Ability to maintain confidentiality standards is essential.
