Job Description Summary

The Associate Vice President for Finance is responsible to the Senior Vice President/Chief Financial Officer for the overall character, content and quality of the university’s Business Office. These services comprise of the functional areas of and within the Controller’s Office, Bursar’s Office, Meetings, Events and Conferencing, and Mail Room Services.

Responsibilities

Responsible to model the University’s Mission through dedicated job performance, service excellence to constituencies, respectful collaboration and active support of the University’s Mission as a Catholic and Lasallian institution of higher education.

-Serve as the Assistant Executive Secretary to the Board of Trustees Finance Committee and Audit Committee.
-Administer the university’s opening day process, holiday closing process, the university’s Red Flag Policy, and the university’s Record Retention Policy.
-Assist in institutional risk assessment.
-Monitor and maintain corporate business ethics in daily operating procedures.
-Provide leadership and direction to professional staff and clearly communicate performance output expectations.
-Conduct evaluations of staff performance and determine appropriate actions for improvement including, but not limited to, adjustments in annual salary.
-Perform additional job related duties as delegated by and provide counsel to the Senior Vice President.

BUSINESS & FINANCE OPERATIONS:
-Assist in the development of the annual budget, long-term budgetary planning and forecasting, and bond covenant compliance.
-Establish and administer accounting policies and procedures, accounting and financial record keeping; maintaining documentation on all business transactions including, but not limited to: billings, collections, deposits, receipts, payroll and disbursements.
-Provide the necessary review and approval for disbursements as authorized by the annual budget.
-Notify the Senior Vice President/CFO of any anticipated or actual revenue and expenditure variance to the University Budget; confirm availability of funds for requisition requests.
-Provide external and internal audit coordination and support.
-Prepare and submit various tax documents, returns, and filings. Ensure timely payments, negotiate taxation discrepancies and penalties.
-Prepare cash management activities, including cash flow reports and line of credit activity.
-Account for and record university investment activities.
-Assist in the oversight of all institutional grant funds and endowment accounting and reporting.
-Collaborate with Enrollment Management and Financial Aid Services to ensure university compliance with federal, state, and private grants, and to ensure compliance with the U.S. Department of Education Title IV Financial Aid Programs and the U.S. Department of Health and Human Resources Loan Programs.
-Assist in the completion of the university’s annual U.S. Department of Education Fiscal Operations Report and Application to Participate (FISAP).
-Direct and oversee the maintenance of U.S. Postal funds and delivery of the U.S. Mail.

Minimum Qualifications

Master’s degree in business administration, accounting, finance, or related field required along with a Certified Public Accountant Certificate. Ten (10) years progressive experience required in a complex institutional setting. Must have the ability to articulate and implement the University’s vision supported by division goals and objectives. Commitment to team-based management required. Seasoned financial leader of integrity, possess superior analytical, communication, and interpersonal skills; capacity to think strategically and creatively, possess a broad institutional perspective. Strong understanding necessary in information technology, campus services, while embracing change and innovation. Commitment to Catholic higher education required.

Preferred Qualifications

Five years direct experience in a higher education institution.

Essential Duties Work hours

Full time; typically Monday – Friday, 8:30am – 5:00pm. Occasional nights or weekends as required.

    Founded in 1932 under the direction of the Chicago Archdiocese and Bishop Bernard J. Sheil, Lewis began as the Holy Name Technical School for boys. Aviation technology was the special emphasis of instruction and the origin of today’s highly regarded Department of Aviation. In 1952 the school was renamed the Lewis College of Science and Technology. In 1960, the De La Salle Christian Brothers - members of a 326-year-old religious order devoted exclusively to teaching and named after Saint John Baptist de La Salle, their founder and Patron Saint of Educators – assumed direction of the institution. Today, with growing enrollment, outstanding programs, experienced faculty and motivated students, Lewis University is recognized as one of the finest, mid-sized, comprehensive Catholic universities in the country.
