Executive Assistant Job Number Full/Part Time Schedule Salary 201811195762 Full Time 8AM - 5PM $48,800 - $72,500 Position Information This position will provide executive level support to the Associate Vice Chancellor, Enrollment Services (AVC-ES), and the Chief Financial and Administrative Officer Enrollment Services (CFAO). Using independent analysis and judgment, coordinates and directs the short and long-term activities of the AVC and CFAO. Responsible for analyzing incoming requests, determining priorities and then adjusting the AVC's / CFAO's schedule as needed. As the gatekeeper to the AVC's Office, authors and distributes correspondence on behalf of the AVC. Manages a complex calendar and anticipates and prepares for any contingencies and on the spot adjustments associated with calendar support. Under general supervision of the AVC, leads strategic planning projects, sets direction and ensures execution of committee tasks and outcomes. Manages all travel, event and speaking arrangements for the AVC and CFAO. Education Education Requirements Degree Requirement Bachelor's degree in related area and/or equivalent experience/training. Experience Experience Requirement Demonstrated experience organizing and coordinating teams or groups Preferred 4 - 7 years of related experience. Required Experience working under the pressure of constantly changing priorities, unanticipated urgent demands, multiple tasks, and projects with competing deadlines. Required Experience with having responsibility and accountability for ensuring reports, presentations and related materials are succinct and accurate. Required 3 years of experience managing executive level calendars and coordinating travel arrangements Preferred Demonstrated experience with UCR systems such as PPS, ePay, eBuy, iTravel and other UCR R'Space applications. Strong skills to communicate effectively with all levels of staff, faculty, alumni/donors, students and external constituencies, both verbally and in writing.
Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
Preferred Qualifications Skill in analyzing policy issues, UC policy and procedures, and other directives and form recommendations.

Familiarity with the organization's processes, protocols and procedures.

Knowledge of federal regulations such as FERPA.

Thorough knowledge of common organization-specific and other computer application programs.
