Admissions Staff Assistant - Student Services, School of Dental Medicine

DescriptionThe Admissions Department manages application process for over 4000 DMD applications, 1000 Post Graduate applications and nearly 600 International DMD applications each year. This includes selection of DMD candidates for interviews, as well as coordination for, and participation in, approximately 60 interview days and special events each year.

Under limited supervision, the Staff Assistant performs complex and diverse duties for the department and is responsible for processing most Post-doctoral and all International DIS applications received annually, including data entry, tracking receipt of application fees and other components of applications (ie. letters of evaluation, curriculum vitae, supplemental information, etc), and communicating with applicants. Distributes completed PG applications to Program Directors and IS applications to Director of Admissions for file review and assists in the communication of final decisions to all applicants. Provides support in the processing of applications to the DMD program. The Admissions Staff Assistant is responsible for processing and responding to mail sent to the office and managing the office filing system. Supporting the Associate Director with updates in maintaining the Student Information System (SIS) university database and the departmental application databases. Distributes information on enrolling students to relevant University offices. Responds to phone, mail, and email inquiries to the office in a timely manner and disseminates accurate admissions information. Provides logistical support for DMD and International Student DMD Program interview days, organizing tour guides from list of DMD student ambassadors for Admissions, as well as special school events such as the New Student Orientation process and annual Open House. Additionally, the Admissions Coordinator provides assistance to the Director of Admissions, and Admissions team, and Student Affairs as needed. The Staff Assistant is also responsible for assisting with the Vertical Integration Program. In addition to the abovementioned tasks, the Admissions Staff Assistant will also design presentations used by the Admissions Office in conferences as well as design marketing materials and make presentations to potential program candidates.


QualificationsBasic Requirements:
  • High school diploma/GED and 2-4 years of administrative experience OR college degree with 1-3 years’ experience.
  • Proficiency in Microsoft Office suite, including word processing, editing, graphics, spreadsheet and database knowledge.
  • Bookkeeping or basic accounting knowledge.
  • Strong organizational and interpersonal skills.
