Program Manager, Physician Assistant Studies (IHP Staff)

Description SUMMARY OF MAJORRESPONSIBILITIES                    

  1. Managesand administers the program budget for the Department of Physician AssistantStudies.
  2. Supportsthe Program Director, Academic Coordinator, Medical Director, Director ofClinical Education, and Faculty in managing, administering and coordinating theoperations of the Department of Physician Assistant Studies.
  3. Supervisesdepartment staff and graduate assistants.
  4. Coordinatesdepartmental events.
  5. Servesas program liaison to all other programs, departments, and external contacts.
PRINCIPALDUTIES AND RESPONSIBILITIES                              

Budgetary(30%):

  1. Developsand maintains program budget systems (personnel and operating) and monitorsfinances within allocated resources.
  2. Maintainssystems for preparation and distribution of payments for term lecturers, labinstructors, guest lecturers, guest patients, clinical sites, extra service payfor faculty and other as necessary.
  3. Preparesand tracks departmental and special fund check requests and purchase orders.
  4. Coordinatesand tracks all special funds contributions; maintains separate budgets forgrants, fellowships and continuing education workshops; follows acceptedsecurity practices and serves as committee member.
OfficeManagement (50%):

  1. AssistsProgram Director with coordination and implementation of departmental projectsincluding ongoing accreditation processes of data collection and analysis,preparation of reports and maintenance of the ARC-PA Program Portal, studentand faculty research programs, community outreach, interprofessional engagement,curriculum studies and revisions.
  2. Analyzes,develops, implements and monitors administrative office support systems;develops office policies and procedures; establishes, coordinates and monitorsdatabase systems for accurate department records of faculty, adjunct faculty,lecturers, alumni and department accomplishments, course syllabi, schedules,student files.
  3. Directsthe planning, preparation and set-up for applicant interviews, new studentorientation, graduation, and other program-related events; develops andproduces brochures, recruitment materials, and specialty flyers for programactivities and events.
  4. Serveson the Admissions Committee for the PA Program and interfaces with the Officeof Student Enrollment Management and Student and Alumni Affairs as coordinator.
  5. Supportsthe work of the Program Director, Medical Director, Director of ClinicalEducation Director of Academic Education, and program faculty.
  6. Serveson program or Institute committees and the IHP Staff Council as arepresentative of the Department of Physician Assistant Studies.
  7. Interfaceswith IHP administration to maintain up-to-date PA Program webpage information.
  8. Facilitatesprotocols for and documents grievance reports and disciplinary action.
  9. Maintainsall department files including faculty, student, curriculum, and accreditationrecords
ClinicalEducation Support (20%):

  1. Collaborateswith Clinical Placement and Systems Analyst in the development and operation ofdepartment preceptor support and continuing education programs as departmentliaison; assists Program Director, Director of Clinical Education, and facultywith related site and preceptor recruitment efforts.
  2. Collaborateswith the Director of Clinical Education and Program Coordinator to manage allcommunications and records related to clinical sites and preceptors.
Otherduties as assigned by supervisor.




QualificationsEDUCATION AND EXPERIENCE QUALIFICATIONS                   

  1. 3-5 years office experience; financial and/or project management a plus.
  2. Bachelors required; Masters in Business of related field desired.

Ability to develop templates, organize technical information, and maintain functional schedules.
  2. Technical Skills: Knowledge of the Microsoft Suite and demonstrated ability to learn new data management systems. Knowledge of internet navigation and research.
  3. Physical Capabilities: Ability to operate office equipment (i.e., use a keyboard, copy machine, fax machine). Ability to be mobile throughout the building and able to lift 10-20 pounds. Adequate personal mobility to move between Institute buildings in a reasonable amount of time carrying objects.
