Job Description:
This position is responsible for administration of the asset tracking software application AssetWorks that is utilized to perform physical inventory. This position will also be responsible for training staff in best practices for asset management as well as assisting in the surplus property process.


  • Train staff in managing controlled and capitalized assets.
  • Ensure compliance of State requirements for inventory by working closely with the Accounting department to keep accurate records of assets that are pending, approved, disposed, donated, transferred, missing, or stolen.
  • Assist staff with the creation of fixed assets using the University's financial software application.
  • Research issues that arise related to credit card purchases or purchase orders.
  • Conduct spot audits as well as an annual physical inventory.
  • Assist in coordinating efforts to schedule and conduct inventory with each department.
  • Collect documentation for departmental folders such as police reports, off campus permits, and email.
  • Participate in the annual Inventory Training Workshop by responding to staff's questions or concerns during the Q&A session.
  • Contribute to procedural and office manuals.
  • Determine whether requests for property transfers to Surplus meet all requirements during the routing and approval process.
  • Coordinate record retention files with the Central Receiving Warehouse Supervisor. Ensure that all records are disposed of by the labeled date.
  • Perform other duties as assigned.
  • Associate's Degree.
  • Three (3) years of related experience in inventory management or related field
  • Additional experience may be used as a substitution to include:
    • High School Diploma or GED and five (5) years' experience
  • Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and in computer skills.
  • Excellent customer service and interpersonal skills.

Preferred Qualifications:
  • Three (3) years' experience in an institution of higher learning environment.

  • Commensurate with experience
