Job Description:


The Residence Life and Housing Office at the State University of New York at Oswego invites applications to fill a full time Office Assistant 2 (Keyboarding) position, Grade 9.


Posting Date: November 10, 2016


Review Date: Review of applications will begin immediately and will continue until the position is filled.

Description of Responsibilities:


Job duties include, but are not limited to:


  • Reception: answer phones, greet visitors to the office; answer inquiries and/or direct to appropriate person or office
  • Provide administrative and clerical support for the Resident Student Staff (RSS) and the Student Operations Staff (SOS) programs, which together employ approximately 300 student workers:
    • Assist in marketing and recruitment for student staff
    • Collect and review job applications
    • Conduct grade checks on applicants
    • Maintain accurate applicant records/spreadsheets
    • Arrange and coordinate candidate itineraries
    • Participate in interviews of qualified candidates
    • Prepare contracts and process paperwork for newly-hired staff members
    • Create and maintain personnel files for RSS and SOS staff
  • Responsible for coordinating and organizing fall semester opening supplies for the residence halls:
    • Inventory supplies and forms at the end of each academic year
    • Update forms and distribute to all residence halls for August opening
    • Prepare opening supplies for each residence hall for August opening
  • Provide Fitness Center clerical support:
    • Process gym membership applications for students and staff
    • Maintain accurate records/spreadsheets of gym memberships
    • Process guest passes, collect fees and generate receipts
  • Provide clerical support for summer programming:
    • Coordinate room assignments for summer groups; maintain records
  • Responsible for equipment loan sign-out and inventory:
    • Maintain accurate records and track usage of Res Life lap-top computers, video/audio equipment and other related equipment
  • Residence Hall Incident Reports
    • Generate daily incident reports from Adirondack Housing Director Conduct Coordinator program and distribute to appropriate staff members
    • Maintain accurate, up-to-date file of incident reports
  • Maintain office copier/printers:
    • Refill paper/toner daily; call for service as needed
  • Maintain Res Life information literature racks with brochures and forms; replenish as necessary
  • Responsible for maintaining inventory and organization of supply room
  • Coordinate Harborfest room reservations and assignments; process billing and maintain accurate spreadsheet records
  • Assist in processing student summer housing and summer storage applications
  • Responsible for inventory of summer key fobs and updating spreadsheets
  • Provide clerical support to the Director, Associate Directors and Assistant Director as needed; including scheduling, correspondence, etc.
  • Other duties as assigned


Requirements:


Minimum Qualifications:


Candidates must be permanent competitive or 55 b/c employees of New York State to be eligible to apply for this position.


Permanent Appointment:


One year of permanent competitive service as an Office Assistant 2 (Keyboarding) OR be reachable on the Office Assistant 2 (Keyboarding) eligible list OR have one year of permanent competitive or 55b/c service in a title eligible for transfer under Section 70.1 of the law.


70.1 transfer or reinstatement:


One year of permanent competitive or 55b/c service as an Office Assistant 2 (Keyboarding) OR have one year of permanent competitive or 55b/c service in a title within two salary grades of the target title that is eligible for transfer under Section 70.1 of Civil Service Law.


Reassignment:


Permanent competitive or 55b/c service as an Office Assistant 2 (Keyboarding).


Provisional Appointment:


One year of permanent competitive service as Data Entry Machine Operator, Data Entry Machine Operator (Spanish Language), Keyboard Specialist 1, Keyboard Specialist 1 (Chinese Language), Keyboard Specialist 1 (Spanish Language), Law Department Document Specialist Trainee 1 or Trainee 2, Office Assistant 1 (Keyboarding), Office Assistant 1 Keyboarding (Chinese Language), or Office Assistant 1 Keyboarding (Spanish Language).


Conditions of Employment:


This will be a permanent or provisional appointment. Candidates should be aware that a preferred list, transfer list, placement roster and/or reemployment roster of laid off State employees may be certified against this vacancy by the Department of Civil Service.
