Position Summary:

Dominican University of California is seeking an individual for an Administrative Coordinator position. Reporting to the Director of Operations (DO), the Administrative Coordinator is responsible for activities that directly support the Office of the Dean, the School of Health and Natural Sciences (SHNS), and its Departments and programs.  Responsibilities will focus mainly on coordinating the administrative functions of School of Health and Natural Sciences and requires a knowledge and understanding of the School, its departments, and University policies and procedures.

Responsibilities:

  • Support operations and controls in all areas of the School (Dean’s office and 6 Departments, including all FT Faculty, Adjunct Faculty, Staff Instructors, Staff, and Students)
  • Process SHNS Workday Activity Pay
  • Complete SHNS course scheduling data entry
  • Assist DO with course room pre-assignments
  • Assist DO with processing SHNS Adjunct Letters of Appointment and Class Assignment Letters
  • Collect and archive SHNS Course Addition/Changes and new syllabi
  • Collect and archive SHNS course syllabi each semester from all departments in SHNS
  • Answer student requests for previous SHNS syllabi
  • Assist DO in SHNS course catalog edits and Power Campus updates
  • Assist DO in supporting the Global Public Health Program
  • Maintain the SHNS Dominican Google Calendar
  • Daily mail distribution for SHNS Dean’s Office
  • Scanning, copying and filing to help maintain School records
  • Assist DO in maintaining SHNS Adjunct Faculty records
  • Serve as point of contact for the Dean’s office when the Executive Assistant is unavailable
  • Assist Executive Assistant with maintaining the School(s) bulletin boards in Guzman and Meadowlands
  • Assist Executive Assistant with ordering and managing supplies for the SHNS Dean’s Office
  • Assist Executive Assistant in facilitating and coordinating SHNS meetings and events
  • Assist Executive Assistant with electronic filing of SHNS Faculty evaluations
  • Protect the confidentiality of sensitive information from the Dean's office
  • Perform other duties as assigned

Required Qualifications:

  • Bachelor's degree from four-year college or university
  • Minimum of 3 years work experience in an administrative role
  • Proficient with Microsoft Office Suite and other data management software
  • Professional appearance and demeanor is required to work with the community, faculty, staff, and students
  • Ability to maintain a high level of confidentiality and treat confidential matters with tact and discretion
  • Strong knowledge of basic office protocols and procedures
  • Ability to work independently and collaboratively to ensure effective management of all office functions
  • Exceptional organizational skill and ability to attend to deadlines
  • Ability to maintain a high level of accuracy and attention to detail
  • Exceptional oral and written communication skills with the ability to effectively support and serve a diverse population
  • Ability to produce work that is consistently thorough and accurate

Preferred Qualifications:

  • Advanced knowledge of Google calendar management and Google document management, including Google drive and Google sites
  • Experience working at a college or university at an administrative level
