Job Summary

The Office Manager provides administrative support to Department Director and Managers in the New Student Center.

Duties & Responsibilities

  • Supports the function and overall operation of the New Student Center, including the Recruitment department, Occupational Training and International Student Services
  • Provides clerical support to various New Student Center grant funded programs
  • Answers phone calls and provides information for new and prospective students including international students, dual enrollees, and Workforce students
  • Maintains correspondence and supplies
  • Assists and prepares budget reports and reimbursements and handles confidential information
  • Prepares payroll for part-time and full-time staff
  • Prepares department requisitions, disbursements, and duplication requests
  • Disburses promotional materials for large-scale campus events
  • Maintains maintenance contracts on copy machine and all printers in department
  • Assists Director of Recruitment with various tasks, including setting up campus visits, arranging for transportation between high schools and campus, and ordering food for events
  • Communicates continuously with academic and student services departments regarding the participation in campus events, open houses, and College/Career Fairs
  • Greets and provides information to students in person and on the telephone
  • Assists with the hiring process of personnel
  • Supervises the reception staff and ensures delivery of excellent customer service from staff and student assistants while keeping them apprised of new program developments and events
  • Performs other duties as assigned

Minimum Requirements

  • Associates degree and two (2) years of successful secretarial/clerical experience in an office setting; or three (3) years of advanced clerical work, including or supplemented by courses in secretarial training or Business courses in high school or college; or a combination of experience and training
  • All educational degrees must be from a regionally accredited institution
  • Proficiency in Microsoft Office applications
  • Possess good oral and written communication skills
  • Ability to work independently, resolve problems and make decisions
  • Ability to perform multiple tasks and organize priorities
  • MDC Clerical Skills Assessment is required. Minimum typing of 40 wpm
  • Knowledge of the principles of office management and supervision and ability to apply this knowledge to work problems
  • Knowledge of pertinent College policies and procedures
  • Ability to deal with other people with tact, poise, patience and courtesy
  • Ability to write reports, business correspondence, and procedure manuals
  • Ability to effectively present information and respond to questions form groups of managers, clients, customers, and the public
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Ability to keep complex records and prepare periodic reports from such records
  • Ability to work in a multi-ethnic and multi-cultural environment with students, faculty and staff
