Job Summary


The Part Time Administrative Assistant III assists with a broad range of front office activities intended to enhance and increase efficiencies in the department. The part time administrative assistant develops and implement tasks and activities related to the proper functioning of a department or program


Duties & Responsibilities


  • Functions as a generalist within the assigned area of responsibility to assist within the scope of the administrative position
  • Prepares periodic reports, monitors schedules and budgets, and processes invoices
  • Prepares and maintains materials, maintains relevant databases and funds generated, assists with new member/staff orientation, and coordinates and provides logistic support for all staff/committee related activities
  • Processes department documents or applications as needed
  • Works with personnel within the department to identify equipment and facility needs
  • Provides general and often detailed information about departmental operations
  • Supports management in reporting data to other entities
  • Provides general information and responds to telephone inquiries from students, staff, faculty, or the community
  • May work with Office of Communications to perform updates to content of websites, including text and images
  • Performs specialized tasks that provide services to students, staff, or faculty
  • Maintains professional administration environment
  • Performs other duties as assigned



Minimum Requirements


  • Bachelor's degree from a regionally accredited institution, in a related field, and three (3) years of related experience; or Master's degree in a related field, and one (1) year of related experience
  • All degrees must be from a regionally accredited institution
  • Knowledge, understanding, and commitment to the College Mission, organization, goals and objectives, and policies and procedures
  • Possess sufficient knowledge of administrative operations and services and office management and generalist functions
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardizations exist
  • Possess excellent organization and communication (both oral and written) skills
  • Knowledge of current technological developments/trends in area of expertise
  • Possess strong interpersonal skills and ability to effectively communicate with a wide range of individuals and constituencies in a diverse community
  • Ability to effectively present information and respond to questions from top management, groups of managers, clients, customers, and the general public
  • Ability to read, analyze, and interpret common financial reports and legal documents
  • Ability to provide transportation to work at indoor and outdoor special events
  • Ability to work a flexible schedule that may include evening, weekend and holiday assignments
  • Ability to work well in a multi-ethnic and multi-cultural environment with students, faculty and staff
