Stanford's Department of Economics is a national leader in economics. The Department's central missions are to train students at the undergraduate and graduate level in the methods and ideas of modern economics, and to conduct both basic and applied research in economics that pushes forward the frontier of knowledge in the field. With 40+ faculty, 4 lecturers, 125+ graduate students and post-doctoral fellows, 200+ undergraduates, and 13 staff, the Department is breaking new ground in pioneering research that analyses and proposes solutions to some of the biggest challenges in society today.


JOB PURPOSE:
Stanford Department of Economics is seeking an Events Planner (100% FTE) to manage the department's signature conference, the NSF-funded Stanford Institute for Theoretical Economics (SITE), and plan and execute major conferences, seminars, and other departmental events with limited supervision. The EP will also support the Academic Office on student-oriented events.
Reporting to the Department Manager, the Events Planner will work as part of a team, and key responsibilities include, but not limited to:

  • Supporting the Faculty Director in proposal preparation, budgeting, post-conference reporting for SITE, and providing grant management
  • Planning and executing key departmental events collaboratively with stakeholders including faculty, staff, and students
  • Budgeting and expense reporting
  • Evaluating, selecting, and coordinating service vendors and facilities
  • Managing participants travel arrangements
  • Tracking event participants and providing presentation/materials support
  • Providing on-site event support
  • Post-event evaluation
  • Completing events related financial transactions and reimbursements
  • Updating events web pages
  • May supervise student and/or temporary employees
    Some working evenings and weekends will be required.


    CORE DUTIES*:
  • Design, plan, implement, and coordinate customized events.
  • Evaluate and select vendors and providers of services considering stakeholder requests and requirements.
  • Serve as a member of an events team, and contribute in a wide variety of functional areas including decisions around budget allocation, event logistics and facilities.
  • Consult with stakeholders to determine objectives and requirements.
  • Inspect event facilities to ensure they conform to the event needs.
  • May serve as project leader on smaller scale events, coordinating teams that plan, implement, and manage all aspects of events or manage program elements of larger scale events.
  • May inspect event facilities for maintenance, janitorial and fire safety issues

    MINIMUM REQUIREMENTS:

    Education & Experience:
    Associate degree and three years of relevant experience or combination of education and relevant experience.

    Knowledge, Skills and Abilities:
  • Demonstrated success planning events.
  • Ability to work both independently and as part of a team.
  • Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
  • Demonstrated creativity, problem solving skills, taking initiative, judgment, and decision-making skills.
  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
  • Excellent interpersonal, communication, time management, and customer service skills. Must be well organized and detailed oriented.
  • Knowledge of Microsoft Office suite and other online documents, such as Google Docs.
  • Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers.

    Certifications and Licenses:
  • Valid Non-Commercial Class California Driver's License.

    PHYSICAL REQUIREMENTS*:
  • Frequently stand/walk, sit, perform desk-based computer tasks, and use a telephone.
  • Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.
  • Ability to obtain and maintain a California Non-commercial Class license and drive day or night.

    WORKING CONDITIONS:
    May require some travel and working evenings and weekends.
