As part of the Development Marketing and Communications team within the Graduate School of Business Development department, this position reports to the Director of Development Marketing and Communications. The team is responsible for ensuring accurate, timely, and compelling recognition, stewardship, and communications for donors; and the coordination of related operational processes with the university Office of Development, GSB Finance, and other departments within the school.


The Stewardship and Communications Manager has responsibility for facilitating stewardship reporting and donor communications, and provides data maintenance and analysis to support stewardship operations and donor communications.



Your primary responsibilities include:

  • Develop knowledge of the Stewardship Office, as well as an understanding of how it relates to schools and departments around the university.
  • Manage a high volume of annual stewardship activities and reporting for specified units, which involves coordinating with multiple stakeholders and units to establish project objectives, achieve timely execution, and provide information about donors.
  • Request and secure letters and videotaped messages of thanks from beneficiaries (e.g, faculty and students); prepare stewardship packages for donors.
  • Write and produce donor and general correspondence in coordination with fundraisers, departmental partners, and Dean's office.
  • Input project related data and documents into the database and ensure timeliness and accuracy in stewardship report distributions to donors.
  • Provide and analyze data on donors and funds; research fund balances and gifts to specific funds; reconcile data discrepancies occurring among various information systems and reports; maintain spreadsheet/data maintenance for donor-related processes including accurate populations for stewardship activities.
  • Assist in identifying gifts that qualify for acknowledgement, tracking the progress of letters, and ensuring that the letters are sent to donors in a timely manner and meet the university's stewardship standards.
  • Develop fluency in stewardship standards and knowledge of best practices.
  • Coordinate with staff and development officers to identify key stewardship deliverables, including written (hard copy, email or online) content, video, or events.
  • Perform an annual audit of each stewardship portfolio to ensure that all related documents, fund, stewardee, and beneficiary information is updated accurately in the database.
  • Participate in special projects and coordinate with central stewardship as needed.
  • Responsible for tasks such as invoice processing, reimbursements, materials preparation, room scheduling, catering, and other logistical support.
  • Be flexible to completing any other additional assigned duties.

    To be successful in this position, you will bring:

    • Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.
    • Superior organizational and problem-solving skills.
    • Excellent data, writing, research and editorial skills ability to synthesize information and present clear and effective materials.
    • Interest in improving interrelated business processes across GSB Development, central Development Services, and other departmental partners.
    • Ability to listen and respond with diplomacy and tact.
    • Demonstrated project management experience managing and coordinating multiple complex projects with competing deadlines.
    • Strong attention to details and the ability to quickly understand and remember details about donors and projects preferred.
    • Strong customer service focus excellent interpersonal and communication skills.
    • Demonstrated sound judgment in situations requiring independent decision-making and in handling confidential and sensitive material.
    • Proficient in MS Office Suite and database applications.
    • Familiarity with nonprofit fundraising, PostGrads, InDesign, advanced Excel, Oracle Financials, and Drupal preferred.
