JOB PURPOSE:
The Administrative Service Manager (ASM) is responsible for the day-to-day operations and overall coordination of the University IT (UIT) Administrative Services Team, which consists of 9 employees (1 FTE exempt and 8 FTE non-exempt staff). The ASM ensures that over 600 staff members in UIT, located at both the Stanford Redwood City Campus and the historic campus in Palo Alto receive the administrative support services they need to fully support the University's mission of teaching, learning, research, and healthcare.
The ASM will be responsible for strategic planning, goal definition, direction, and vision for the UIT Administrative Services Team. S/he will specify and recommend procedures and systems for handling and prioritizing requests. S/he will take the lead in identifying and implementing new and improved services with the goal of enhancing support for teaching, learning and research, and healthcare. S/he will also be responsible for establishing policies and procedures, creating proposals and implementing standards for staff support services, as well as assesses the quality and effectiveness of services.
CORE DUTIES:
- Manager up to 9 staff members on the team
- Recruit, hire, train, and provide guidance and supervision for the team. Provide career opportunity development for staff.
- Maintain and foster team spirit. Handle a variety of situations and conflict. Independently order priorities with discretion and sensitivity. Establish training programs for employees and monitor the effectiveness of training activities.
- Delegate work functions and sets time frames to get assignments accomplished. Work with the team to set performance expectations and goals for their positions. Conduct performance appraisals. Provide guidance on university policies & procedures.
- Serve as liaison regarding administrative support issues among UIT's workgroups and the Chief Information Officer (CIO), Assistant/Associate Vice Presidents (AVPs), Executive Directors (EDs), Senior Directors, Directors, Managers, Staff and Vendors. Survey UIT staff for feedback and respond to staff needs. Troubleshoot service problems. Monitor the quality of service and identify solutions to ensure high quality support.
- Lead the planning and operations for programs or functions that have significant businesses, regulatory and/or technical challenges requiring subject matter expertise.
- Evaluate programs or functions, policies and procedures. Identify issues and develop alternative solutions which may include changes to programs, policies and procedures.
- Review and analyze trends to advise and develop recommendations to achieve or modify the goals of the program or function.
- Represent the Administrative Services Team within UIT by committing resources and providing information and/or training. Represent the Administrative Services Team's program or function at the university level and/or to external/internal stakeholders and constituencies.
- Build and manage relationship among team members, management team, and clients across campus.
- May develop and oversee budget; manage finances including monitoring, analyzing, forecasting, and reporting. Establish tracking system for department fiscal year-end review. Approve department financial transactions (purchase requisitions and expense requests) up to $5,000.
- Other duties may also be assigned.
Education & Experience:
Bachelor's degree and five years of relevant experience, or combination of education and relevant experience.
