I. JOB OVERVIEW

Job Description Summary:

The Division of Development and Alumni Relations (DAR) is seeking an Administrative Associate for the George Washington University. DAR is responsible for leading the university's alumni and fundraising efforts and seeks to promote a culture of philanthropy throughout the university community, including alumni, students, parents, faculty, staff, corporations and foundations, patients and other friends. Our goal is to advance GWUs mission of excellence in education, research, scholarship, and patient care.

Reporting to the Senior Associate Vice President of Development, Principal Gifts & Planned Giving, the Administrative Associate provides the full-range of administrative support activities for the Principal Gifts team and the Senior Associate Vice President. This position generally has responsibility for several established and ongoing complex processes unique to the area in addition to routine operational tasks.

Responsibilities:

•Serves as administrative associate to the Senior Associate Vice President and Principal Gifts team by providing or overseeing reception services, scheduling appointments, meetings, and travel, maintaining the supervisor's calendar, preparing and proofreading correspondence, reports, organizing and maintaining paper and electronic filing systems, initiating recurring administrative processes, coordinating projects, and assisting in the completion of reports.

•Obtains equipment, services, and supplies needed by the department by maintaining an inventory of office supplies, purchasing computers, furniture, office supplies and equipment, determining the appropriate method to pay for goods or services purchased by the department following University policy and procedures, and utilizing the appropriate process.

•Organizes, coordinates, plans, and conducts departmental events by securing space, equipment, food, preparing invitations, announcements, agendas, brochures, and packets, and making travel arrangements and reservations.

•Supports the administrative business functions of the department by maintaining the departmental website and databases, scheduling the use of conference rooms, and maintaining security of equipment, files, and records.

•Performs other work related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 3 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:

• Interest in philanthropy, fundraising, personal finance and/or grant-writing.

•Excellent written and oral communication skills.

•Ability to utilize project management tools and processes.

•Demonstrated experience in tracking projects with multiple deliverables and variable deadlines.

•High-level competency in Microsoft Word, Excel, Powerpoint, Project Management software. Database experience preferred.

•Ability to work independently.

•Previous development/advancement experience within a large institutional environment and experience supporting a high-level executive preferred.
