Position Summary:

Coordinate and support central functions of the School for Social Work Registrar’s Office. Serve as a primary point of contact for student inquiries and support and responsible for the day to day management of the student records, registration, and degrees. Work collaboratively with the Assistant Registrar to analyze, implement, and update procedures to ensure successful processing of critical office functions.

Duties and Responsibilities:

Records: Primary management of student records, in accordance with FERPA, including but not limited to, transcript requests, verifications of enrollment, receipt of grades, address data entry, and ongoing academic record maintenance. Coordinate the records management for all active and former student files.

Registration: Work with the Assistant Registrar to create course schedule, update curriculum, prepare and manage student registration. Assist students with online registration, registration changes, and status updates. Coordinate the end of term grade processes; including faculty grade submissions, grade changes, and student course feedback.

Degree Conferral and Commencement: Track, audit, and communicate degree requirements and progress toward degree for students. Review and process degree conferral (including requirement fulfillment, degree processing, and diplomas) and work collaboratively with office staff and college relations to produce a successful commencement ceremony.

Data & Office Management and General Support: Oversee customer service needs, including informational postings and materials, ad hoc staff training, general computer systems improvements and new initiatives. Prepare, review, and maintain reports related to enrollment, degree progress, and graduation. Manage office email accounts and other operational needs. Oversee student work and coordinate student worker assignments. Collaborate and assist with cross-trained office functions. Back up other school staffing as needed, including but not limited to the reception desk.

Qualifications:

Education/Experience: Associate’s degree plus 1 to 3 years of relevant experience or an equivalent combination of education and experience, Bachelor’s degree and experience in a registrar’s office preferred.

Skills: Excellent interpersonal skills; history of team building capacity; demonstrated ability to work collaboratively and effectively with colleagues and other campus constituencies; significant history with consumer orientation with students, members of the public, and college colleagues.  Strong communication and organizational skills; track record of flexibility and adaptability in problem solving; ability to think creativity and use sound judgment; demonstrated strong technical expertise and experience in MS Office and data management systems (Banner and COGNOS preferred); ability to identify and utilize data in decision making; ability to function in a fast-paced environment under the pressure of deadlines with accuracy and attention to detail.
