Duties: The Office of Principal Gifts works with the University of Pennsylvania's most generous prospect pool to maximize their levels of support for Central, School and Center priorities. As part of the Principal Gifts department, responsibilities include managing the relationships of the University's most generous donors and strategically organizing use of and staffing the President, Provost, Deans, Trustees and other high level volunteers in principal gift cultivation and solicitation. In addition, develop and manage the Academy of the University of Pennsylvania, the highest-level stewardship program hosted by the President.

Reporting to the Senior Director of University Stewardship, the Assistant Director of University Stewardship will have the responsibility to support University-wide stewardship initiatives in collaboration and in coordination with School and Center stewardship staff. The Assistant Director will be responsible for collecting and managing stewardship data for the University's most generous donors. Furthermore, the Assistant Director will assist with overall stewardship program management, and assure efficiency and organization of stewardship activity across the department.

Primary Duties:
Work with school and center colleagues to organize, input and maintain stewardship information in ATLAS (donor database), including connections between donors and funds of all gifts of $1M+. Ensure new donor/fund connections are added at regular intervals throughout the year. Proactively assist School/Center colleagues and Principal Gift colleagues in utilizing ATLAS to create and maintain individual donor stewardship plans. Offer guidance on best practices for use of ATLAS in stewardship planning, including using Designation Relationships and generating tailored reports.

Manage process for various Principal Gifts/Central stewardship functions. Ensure accurate tracking and coordination of Presidential birthday cards, Centrally-used Donor Recognition Names, new Men and Women of Pennsylvania members, and Centrally-based capital projects. Work with Principal Gifts colleagues to review monthly list of birthday cards to be sent as stewardship by the President and coordinate production of requested custom cards. Provide the monthly list to the President's Office. Work with UGFA colleagues to coordinate annual updates to the UGFA leadership donor wall.

Manage updates for the Class of 1949 Generational Bridge, including tracking payments, interfacing with donors, working with vendors and FRES to facilitate approvals and monitor the installation of the project. Track requests and gifts for memorial benches/trees and coordinate with FRES on installation.

Provide annual review of all newly qualified donors for The Academy who reach the $1,000,000 lifetime giving threshold. Assist with The Academy new member process and annual roster production. Provide assistance with other elements of The Academy program as needed.

Report to the Senior Director of University Stewardship. Work closely with him/her on the donor stewardship needs for the Principal Gift prospect pool. Establish and maintain strong working relationships within DAR, including the Senior Associate Vice President for Principal Gifts, School/Center stewardship colleagues, Reports, and Records and Gifts Accounting.

Provide staff support for special events, as needed. May include events managed by Principal Gifts and DAR events that need volunteer staff.

Help to plan and coordinate semi-annual Stewardship Communication Group meetings. Provide insights on agenda items based on current topics coming from school/center colleagues.

Write and edit stewardship communication. Research specific gifts and produce stewardship reports for unique donors that have given to Centrally-based areas. Work with Principal Gifts team to provide tailored reports as needed for individual donors in the Principal Gifts prospect pool.

Must maintain confidentiality of all privileged information, as well as demonstrate good judgment and the ability to work autonomously.

Develop and maintain a strong working knowledge of development and alumni relations at Penn by taking advantage of internal training opportunities, building relationships with colleagues, reviewing institutional websites and publications, and keeping abreast of breaking news.

Qualifications: Bachelor's degree with minimum 2-3 years of experience in fundraising, donor relations, communications, or related field required; experience in higher education preferred. Excellent written and oral communication skills; must be able to work effectively with diverse members of the University community with tact and courtesy; must have strong organizational and analytical skills and the ability to work collaboratively with team members; demonstrated ability to meet deadlines and demonstrated interpersonal skills; excellent computer skills, familiarity and knowledge of relational databases and use of the Internet. Some evening/weekend work and valid driver's license required.
