The University of North Texas at Dallas invites applications for the position of Senior Administrative Associate.

The position is at UNT Dallas College of Law, 1901 Main Street, in downtown Dallas. The position is responsible for receptionist duties in the Dean's Suite which includes welcoming and directing visitors by greeting them, in person or on the telephone, and for answering or referring inquiries. Dean's Suite visitors include students, faculty, staff, attorneys and judges, donors, university officials, elected officials, and others. This position is also responsible for administrative support to the Director of Integrated Marketing & Communication. Assists with managing complex calendars and schedules appointments for the Director and the Chief Communications Officer. You will also provide administrative support to the Office of the Dean and the assistant to the dean, as needed. Position duties require some independent judgment and decision-making. Resolves routine questions where problems have occurred before and their solutions generally are familiar. Refers more complex issues to higher level staff.

Responsibilities of the position include, but are not limited to:
  • Update/create mail merge documents, memos, flyers and labels.
  • Assists with preparing materials, reports, and responses to official inquiries from internal and external constituencies. Coordinates executive communications, including those requiring a high degree of security and sensitivity.
  • Reviews communications of various types and refers to appropriate department, faculty or staff for disposition.
  • Organizes meetings and assists with special event logistics including room assignment; announcement, invitation, handout preparation and distribution; catering and logistical arrangements; taking and transcribing minutes; IT support scheduling.
  • Provide administrative support for purchase orders and other budget-related functions.
  • Provide administrative support as it relates to vendor communications and agreements.
  • Monitor and post to social media and make minor web content updates.
  • Monitors and maintains adequate levels of office supplies and administrative materials for assigned areas. Coordinates travel arrangements and travel vouchers.
  • Perform related duties as required.
  • Must be able to work scheduled office hours normally between 8:00 am to 5:00 pm, Monday through Friday, or as otherwise required.

Minimum Qualifications
The successful candidate will possess the following required qualifications:

Graduation from High School or GED equivalent and three years of general office or clerical experience. The following knowledge, skills, and abilities are required:
  • Microsoft Office and Adobe skills.
  • Ability to problem-solve and make decisions.
  • Ability to effectively communicate.
  • Knowledge of policies, practices, procedures and terminology of assigned function.
  • Skill in composing routine letters and preparing reports.
  • Skill in recording and compiling material for reports.

Preferred Qualifications
The preferred candidate will possess the following additional qualifications:
  • Bachelor's Degree
  • Proficiency in Microsoft Office and Adobe skills.

Physical requirements necessary to perform essential job functions
Work is primarily sedentary. Sits comfortably to do the work; however, there may be some walking, standing, bending, or lifting items weighing up to 15 pounds.
