Primary Function of Organization Unit: The 900+ positions of the Facilities Division service the students and staff of the University's teaching, research/administrative space and 2,240 acres of infrastructure. The Facilities Division provides design and building services, maintenance, custodial, landscape, solid waste removal, utility, mail, and motor pool services 24 hours a day, 365 days a year. The goal is to deliver cost effective services to the University, ensure completed projects and maintenance that conform to codes and regulations, while minimizing University liabilities and disruptions caused by the maintenance, repair, building, and equipment modifications to the University. The Business Systems unit is responsible for developing and maintaining work management solutions which empower workflow across the Facilities Division. Current solutions include an computerized maintenance management system (AiM), comprehensive functional and technical system support, full-scale desktop and networking services, a customer service/work control center, as well as materials management and warehouse operations. These solutions support the initiation and completion of work in the field, the tracking and billing of costs and the reporting of activities and trends.

Essential Job Duties: The Fiscal Specialist will provide cost monitoring, analysis and reconciliation of all transactions in the computerized maintenance management system (CMMS). The incumbent will ensure appropriate codification of all fiscal transactions within the CMMS in accordance with GAAP, fiscal policy and standard operating procedures. The position will also coordinate the entry of high-impact transactions into the CMMS (i.e. service agreements). This position is mission critical for audit readiness. The incumbent will reconcile CMMS billable activities with the financial system of record (Peoplesoft Financials). It will also support CMMS operations by testing new processes and participating in the development of the system. This is in addition to coordinating monthly billing efforts, documenting standard operating procedures (including flow charts) and assisting with training/special duties as assigned.

Minimum Education/Experience:

Department Required Skills: Experience and proficiency in using PeopleSoft Financials and AiM IWMS (or another CMMS) or similar systems Demonstrated experience reconciling complex, high volume financial transactions and addressing the resulting reconciliation items; Knowledge of Microsoft Excel and other analysis tools for performing financial analysis; Experience with monitoring exception reports to identify errors and cost overruns; Experience analyzing complex sets of financial data for accuracy; Demonstrated experience working independently in a fast-paced environment with limited direction; Ability to be flexible and balance multiple priorities in a highly demanding environment; Experience with facilities-related business functions a plus; Ability to develop thorough, high-level documentation including standard operating procedures and CMMS fiscal policy; Excellent written and verbal communication skills, interpersonal and organizational skills;

Preferred Experience, Skills, Training/Education: Graduation from a four year college or university with a degree in Accounting, Finance or comparable field; or an equivalent combination of training and experience; *All degrees must be received from appropriately accredited institution.*
