Job Details

The Department of Computer Science in the Daniel Felix Ritchie School of Engineering and Computer Science at the University of Denver invites applications for the position of Assistant to the Chair. This position provides broad range of administrative and operational support for the faculty, staff and students of the department, the Ritchie School and the University as a whole.

Essential Functions

  • Payroll: Process Bi-Weekly and monthly payroll, route copies of grant/regular timesheets to ORSP or payroll as necessary, send Email reminders to employees to report time worked and approve timecards, and maintain copies of all timesheets.
  • Purchasing: Direct Pay and travel reimbursements, purchase requisitions, route paperwork as necessary, maintain copies of all transactions and subsequent paperwork, make credit card purchases for department and faculty, allocations and reconciliations, maintain purchasing card records.
  • Contracts: Communication with faculty for proper information, submit contracts in workflow, Create Purchase Requisitions after approval when necessary, maintain proper copies of all contracts and records.
  • Budget: Maintain budget tracking spreadsheet, including flow back deposits and purchases, schedule regular meetings to review budget with department staff, provide grant, budget, fund balances to chair and faculty upon request.
  • Assist Chair of the Department: Create and maintain course schedule in time for registrar and RSECS Director of Student Services to allocate classrooms, provide various reports to Chair and faculty upon request (Enrollment, Student Demographic Information, Banner, Access Reports, etc.), maintain chair calendar, schedule and set up faculty meetings, assist with writing memos and documents when needed, assist chair as requested.
  • Undergraduate Student Support: Serves as liaison with Registrar's Office, Campus Life and Inclusive Excellence, and Undergraduate Academic Programs Office, facilitate faculty advising, process graduation checks, handle paperwork and communication for exceptions, petitions, and problems, post internship offers, help foreign undergraduate students with OPT and CPT process, support student groups with events, reimbursements, and moral support, create a welcoming environment for undergraduate students and get to know as many as possible to help create community.
  • Outreach (with Chair and Director of Student Services): Help coordinate K12 outreach programs and summer camp processes, help establish contacts with K12 schools, work with campus outreach programs as pertains to computer science, keep records of all appropriate paperwork.
  • Hiring Work Study for self and faculty/researchers: Create/manage job postings on student employment website, interviews, background checks, hiring, manage timesheets, process special community member forms.
  • Adjunct hiring: Post job descriptions, track applications, perform background checks, offer letters, and hiring process.
  • Other duties as assigned, to include:
    • Interact or manage interactions with every person who comes in, answer questions, open doors, etc.
    • Coordinate processes to update various bulletins
    • Route paperwork appropriately for travel Authorization forms, Course Proposals, Grad Studies forms, etc.
    • Order kitchen and office supplies
    • Facilities work orders
    • Mail sorting and package receiving
    • Filing
    • Post room schedule weekly outside door
    • Assist faculty as requested and appropriate
    • Print and post flyers and posters
    • Order, pick up and manage parking permits for visitors
    • Schedule rooms in ECS for CS faculty, staff, students, and visitors
    • Assist in Website maintenance
    • Facilitate Tutor/TA office hours schedule
    • Perform departmental event planning and assist with school events and meetings as needed
    • Assist in administration of capstone and grand challenge scholar courses
    • Attend various training sessions for various University initiatives, systems and processes

Required Qualifications

  • High School diploma.
  • 2-3 years of administrative experience.

Preferred Qualifications

  • Bachelor's degree.
  • Banner experience.

Work Schedule

Monday - Friday, 8:00 am - 4:30 pm.
