Responsibilities

Assist with the Center's training programs and all pertinent aspects of travel and logistics. Assist faculty and staff with clerical duties. Responsible for invoicing training customers and processing payments received for Center trainings. Provide backup support to the Center's fiscal staff.

Works directly with training customers and acts as a liaison between customer and Center staff; answers customer questions about curriculum and trainings. Assists in organizing training logistics; confirms registration; ensures training equipment needs are met; coordinates staff assembling and shipping of training materials; anticipates training production printing needs monitors space availability for trainings; initiates purchase orders for training expenditures; ensures registration fees are collected and purchase orders for on-site trainings are paid; and ensures compliance to the T-Card and P-Card policies and procedures. Responsible for processing sales receipts for training customer credit card orders; invoicing customers for training registration fees associated with purchase orders and checks.
Performs general office duties and maintains office organization. Answers and responds to general questions, referring calls to appropriate staff; maintains office calendar; orders, receives and stocks office and janitorial supplies; assists faculty and staff with various clerical duties.

Provides support to the fiscal department with processing Partners for a Healthy Baby invoices and credit card orders; making travel arrangements and process travel reimbursements in Concur for faculty and staff to attend meetings/trainings as needed; coordinate departmental ITS bills for all budgets; run monthly ledger reports for all budgets; and work with the Fiscal Manager to contact customers for overdue payments.

Analyzes training pre/post/evaluation data and assist with writing reports needed for grant reporting requirements.

Qualifications

Bachelor's degree and two years of experience; or a high school diploma and six years of experience.

Experience and the ability to prioritize, organize and perform multiple work assignments simultaneously.

Computers skills to include experience with Microsoft Office with proficiency in Word and Powerpoint or comparable software.

Experience working in an office setting environment.

Ability to communicate effectively verbally and in writing.

Pay Plan

This is an A&P (Administrative & Professional) position.

Soft Money Funded Position

This position is time-limited based on soft money funding, with renewal contingent upon available funds and the needs of the University.

Schedule

The work schedule is M-F, 8-5.

Criminal Background Check

This position requires successful completion of a criminal history background check. The background check will be conducted as authorized and in accordance with University Policy 4-OP-C-7-B11.
