Appointment/Status: This position is hourly, non-exempt and full-time (1.0FTE).

Position Description: The Catering Coordinator serves as a liaison between catering and the client planning events and services.

Essential Job Functions and Responsibilities:


    Supports the Assistant Director for Catering and Cafes with designing high profile events.
    Provides direction and supervision to the catering student staff in the absence of the Assistant Director for Catering and Cafes or Catering Leads.

  • Responsible for editing and approving timecards for DCS student catering workers using the university's PeopleSoft timekeeping systems.

  • Responsible for planning and creating menus with customers for university and off campus catering events.

  • Provide general administrative duties in support of Catering activities.

  • Responsible for Catering Lead duties in their absence and provides additional support for large events.

  • Provides full time coverage as needed in the absence of the Office Assistant/Accounts Payable and the Payroll & Accounts Receivable Coordinator.

  • Coordinates with culinary staff the overall details of university and off campus catering events.

  • Distribute and communicate Catering details to the appropriate areas as well as any updates.

  • Assists in the training of student staff members.
    Participates in the recruitment and interviewing of catering staff.

  • Serves as backup to generate catering invoices and reconcile the catering accounts receivable with the PeopleSoft system.

  • Serves as backup for maintaining the DCS cash vault, which includes reconciling petty cash, cashier bags, and food worker card reimbursements.

  • Responsible for maintaining catering petty cash.

  • Serves as a back up to Office Assistant/Accounts Payable for answering main phone line, printing ID/Meal Cards and general administrative office support.

  • Adheres to policies as outlined in the DCS Handbook.

Minimum Requirements

  • High school diploma or equivalent
  • An Associate's or Bachelor's degree in hospitality, culinary arts or related field preferred
  • Ability to work in a fast-paced environment
  • Understanding of general accounting principles
  • Proficient with general timekeeping tasks
  • Familiar with taxable and non-taxable regulations
  • Proficient in MS Office Suite (MS Excel, MS Outlook, MS Word in particular)
  • Must possess a valid Food Worker Card
  • Must demonstrate a strong customer service orientation and have the ability to organize, prioritize and problem-solve, and communicate and work with a diverse group of staff
  • Regular and reliable attendance
  • Ability to respectfully work, communicate and provide leadership within a diverse campus community

Preferred Experience

  • Event planning experience

  • Experience working within a higher education institutional setting

  • PeopleSoft timekeeping system, Odyssey, 25Live, and Event Master accounts receivable software program

  • Ability to work shifts of twelve or more hours.

  • Ability to bend and stoop to grasp objects, climb ladders, push and pull carts weighing up to 100 pounds, unassisted.

  • Ability to lift up to 30 pounds. Lift up to 35 pounds unassisted on occasion.

  • Ability to visually examine products for quality and signage/labeling for accuracy.

  • Ability to stand for long periods of time.

  • Ability to work in a fast-paced, strenuous environment.
