Position Overview:




The Book Production Assistant shall assist in the planning and execution of the print production process at the Center for the Study of Language and Information (CSLI) Publications department. This person primarily completes administrative duties involving coordinating manufacturing and prepress for book production. This person will also provide operational support working under general supervision of CSLI Publications director.




Working closely with the CSLI Publications director, the Book Production Assistant will carry out a wide range of office duties such as filing, monitoring book schedules, applying for copyright data, and compiling cover, jacket, and catalogue copy. The Book Production Assistant will sometimes also be called upon to assist the publications director in his acquisitions activities.




This position is 50% FTE (20 hours per week) and is a 1-year fixed-term appointment.



Core Duties:

  • Coordinate reprints process.
  • Scan artwork and perform printer's proof check.
  • Communicate with press staff both verbally and in writing regarding updates and modifications.
  • Take responsibility for the manufacturing and prepress with both internal press and outside vendors.
  • Maintain schedules, create a variety of purchase orders, and fully coordinate the final manufacturing phase of the production process through to fulfillment of deliverables to the warehouse.
  • Provide administrative support for the department.
  • Setting and maintaining schedules and corresponding with authors and advising them about all aspects of the preparation and production of their books from the time they begin preparing their manuscripts for submission to the printer.
  • Formatting of manuscripts electronically, light copyediting, proofreading, indexing, and typesetting.
  • Track and maintain inventory.

Minimum Qualifications:




Education & Experience:

Associate degree and one year of experience or combination of education and relevant experience.




Knowledge, Skills and Abilities:
  • Knowledge of current and traditional book manufacturing processes and terminology.
  • Book production and manufacturing experience.
    • Including knowledge of copy, editorial, project management, and the basic rudiments of art and design.
  • Excellent communication skills.
    • Verbal and written
    • Excellent customer service and interpersonal skills.
  • Ability to work in a fast paced environment.
    • Ability to prioritize and multi-task.
  • Proficiency with current office technology.
  • Ability to interface with internal departments and external book publication/production community.


Preferred Qualifications
  • Understanding of typical book production graphic software, such as Adobe Acrobat. Familiarity with TeX and LaTeX formatting programs highly desirable.
  • Strong organizational skills and attention to detail.
  • Willingness to learn management of print projects and traditional and digital printing practices.

PHYSICAL REQUIREMENTS*:
  • Frequently stand/walk, sitting, grasp lightly/fine manipulation, perform desk-based computer tasks, use a telephone, writing by hand, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Occasionally twist/bend/stoop/squat, reach/work above shoulders, grasp forcefully.
  • Rarely lift/carry/push/pull objects that weigh >50 pounds.
  • Good visual acuity including color vision.
  • Ability to work in a dusty, dirty and odorous environment.
