Duties: The Business Administrator for External Affairs will have oversight of all financial and operational needs for a large, high volume department engaged in fundraising and alumni relations domestically and internationally. Reporting to the Senior Business Administrator, the Business Administrator will conduct monthly reconciliations, projections, financial analysis and reporting, and act as final financial approver for travel expense reports in Concur and Purchase Orders in Ben Financials. This position is also responsible for training and mentoring staff on the financial policies of Penn, Wharton and External Affairs to ensure that policies are adhered to in all business transactions. Maintaining knowledge of University policies and procedures, continuing education of new systems as they develop, and working to streamline processing and ensuring adherence to all University, Wharton, and government guidelines are essential to this role. This position will manage an Administrative Coordinator and oversee operations functions related to inventory, supplies, maintenance and employee building access. In addition, this position works closely with the Senior Business Administrator and department directors to set annual budgets and create monthly and quarterly reports to monitor spending.

Qualifications: A Bachelor's Degree and 3 years to 5 years of experience or equivalent combination of education and experience is required. Strong financial and accounting management skills required. Familiarity with Ben Financials and PennWorks a plus; experience with expense processing and business reporting tools like Qlikview, Smartview, and Business Objects required. Familiarity with fundraising and international expenses desired. Excellent interpersonal and communication skills (written and oral). This position requires flexibility, strong problem-solving skills, and the ability to work independently while functioning as part of the team. Strong organization skills, customer service orientation, and attention to detail.
