Overview

Princeton Environmental Institute (PEI) - the interdisciplinary center of environmental research, education and outreach -- seeks a highly competent, efficient and motivated individual to serve as Undergraduate/Graduate Program Manager with responsibility for administering academic programs in the broad area of Environmental Studies. Reporting to PEI's Executive Director, the Undergraduate/Graduate Program Manager works closely with the PEI Director(s) to ensure smooth functioning of various academic programs including the undergraduate Certificate Program in Environmental Studies, PEI-STEP Fellowship Program, Graduate Certificate Program and the Senior Thesis, Hack and Walbridge Awards programs. The incumbent is the essential point of contact for faculty, lecturers, assistants-in-instruction (AIs), students, administrators, Dean of the College (DOC), Dean of Faculty (DOF), Registrar, librarians, prospective students and others on academic program and related matters. The incumbent will join PEI's professional staff at a time of increased visibility and University expectations for the Institute.

Responsibilities

ENV Certificate Program Administration: the Undergraduate/Graduate Program Manager is the principle administrator for the Program in Environmental Studies. He/she works closely with PEI Director(s) to ensure smooth functioning of the ENV Program by administering ENV courses, advising students, maintaining confidential student records, and updating course information for print and online publication. He/she supports the PEI Director(s) in curriculum planning and assists faculty/lecturers on ENV course-related activities including course development, classroom assignments, reservation of reading materials, course-related field trips, administration of exams and by managing course enrollments. The Program Manager generates and submits Course Information System (CIS) information. The Program Manager helps identify and recruit preceptors/AIs for ENV courses.



Teaching Budget: The Program Manager engages with the Dean of Faculty on matters involving the annual Teaching budget. He/she administers teaching appointments for lecturers and Assistant Instructors.



Events: The Program Manager organizes and manages logistics for Certificate Program events including meetings/presentations involving faculty, students, and alumni. Such events include but are not limited to the annual Class Day ceremony, course related poster shows, and the Sophomore Open House. He/she organizes and implements Discovery Day - an annual poster show involving ~ 100 undergraduates/graduate student environmental presentations.

Communications: The Program Manager is knowledgeable and conversant on the broad range of academic opportunities available through PEI. He/she orchestrates event publicity and campus-wide promotions of ENV courses, PEI academic programs and other opportunities

The Program Manager drafts and edits descriptive content for print/on-line publications including the Undergraduate Announcement and PEI's website. He/she manages social media groups for the ENV program and its alumni.



Reporting and Planning: The Program Manager maintains data and records to support financial reconciliations, benchmarking, annual reporting and planning activities. He/she prepares reports and generates analyses to support University/PEI planning.



Graduate Programs: The Program Manager supports PEI Director(s) in managing PEI's Graduate programs including development of the new Graduate Certificate in Environmental Studies, the awarding of PEI-STEP Fellowships, and the annual awarding of funds to support graduate research.



Awards Programs: The Program Manager provides administrative support for the twice-annual awarding of senior thesis research awards and the year-end awarding of academic prizes.

Qualifications

Essential Qualifications:

Bachelor's degree.

Experience managing administrative functions; superior organizational abilities; excellent interpersonal skills; advanced writing and editing capabilities. Creativity and problem solving skills. Ability to work independently as well as with colleagues including faculty, administrators, students, alumni and external organizations. Motivated for excellence, takes initiative to achieve same. Ability to multi-task and meet deadlines. Poised with ability to maintain composure and focus in dynamic and fast-paced work environment. Flexible and responsive. Ability to maintain strict confidentiality and exercise discretion. Good judgment. Proficient in MS Office Applications (Word, Excel, Outlook).



Preferred Qualifications:

Experience in a University setting; Knowledge of academic processes and procedures at Princeton University, particularly CAP/CUP; Familiarity with PeopleSoft, Blackboard, CIS, and content management systems.
