Job Description
The Executive Administrative Associate is the most visible position within the administrative staff both internally and externally. This position is responsible for the administrative duties related to the Associate Directors and 9 Endowed Chairs of the Harte Research Institute. This includes meeting coordination, travel, purchasing and special projects.


  • Plan and coordinate in-state, national, and international travel arrangements for Associate Directors, Endowed Chairs, and related VIP guests to include utilizing TAMUCC automated travel program Concur and following TAMUCC travel guidelines.
  • Reconcile travel receipts and prepare reimbursement documentation.
  • Order general office supplies for the executive office per the policies and procedures set forth by the TAMUCC Purchasing Department. Attend training as necessary to ensure adherence to such policies and procedures.
  • Coordinate with Operations Manager, Project Coordinator and Assistant to the Senior Executive Director on planning, implementing, coordinating, and managing virtual and in-person workshops, seminars, symposia, and public events directly related to HRI Senior Leadership to include ordering food, booking rooms, preparing materials, etc.
  • Manage incoming phone lines for the Institute, Associate Directors, and as backup to the Assistant to the Senior Executive Director.
  • Interact with the mid to high level business management, public officials, and organizational leadership. Maintain contact information so it is timely and correct. Assist with the maintenance of the donor/supporter database.
  • Create weekly and monthly reports for the Associate Directors as requested. Track and manage multiple projects as directed by the Associate Directors.
  • Assist Associate Directors and Endowed Chairs with any administrative tasks related to their academic duties to include inputting or retrieving information in Banner and digital measures.
  • Compose correspondence, memorandums, forms and documents. Schedule and arrange meetings. Compile, check, review, and/or monitor information. Prepare materials for meetings, agendas, etc. Attend meetings and provide detailed report and action plan.
  • Perform other duties as assigned.
  • High school degree in related field or equivalent combination of education and experience.
  • Seven (7) years of applicable experience in an office setting.
  • Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Planning and organizational skills.
  • Excellent verbal and written communication skills.
  • Ability to multitask and work cooperatively with others.

Preferred Qualifications:
  • Bachelor's degree in related field.
  • Experience in higher education.
  • Experience to include administrative duties as described in the job description.
