I. JOB OVERVIEW

Job Description Summary:

Reporting to the Biochemistry Department Chair, the Administrative Associate will serve as an administrative extension of the Department Chair and Department Administrator for the Department of Biochemistry and Molecular Biology.

The Administrative Associate will implement the coordination, development, and implementation of administrative policies for the Biochemistry Department. S/he is responsible for the planning and coordination of department and external special events, procurement, budgeting and oversight of fiscal activities for department endowed funds, intramural and external awards management under the guidance of the principal investigator and departmental administrator. The Administrative Associate will facilitate and support the research and teaching success of the Biochemistry department and Chair, principal investigators and research staff, and has an affinity to advance the Biochemistry Department Mission: "The Department of Biochemistry and Molecular Biology will continue to deliver the highest quality of professional education and training, and conduct cutting-edge research at the GW School of Medicine, and achieve the status of a premier biomedical research and education center in the nation."

Job Duties:
-Plans, organizes, coordinates, and promotes departmental, school of medicine, and/or university-wide activities like special events, meetings and seminars including developing budgets, securing approvals, taking minutes, delegating roles and managing the functions on-site.
-Maintains Department Chair's calendar
-Manages and coordinates the Department Chair's correspondence, including writing letters and/or editing letters and memos for signature.
-Manages supply budgets for endowed funding and sponsored research awards assigned to Department Chair/PI
-Places all lab orders for the Department Chair's research program.
-Verifies that PI has active approvals for hazardous purchases as necessary.
-Actively resolves any issues related to procurement of such items and keeps lab staff and PI informed.
-Serve as departmental liaison with administrative and professional personnel concerning University policies and procedures, personnel administration, grant administration, budgetary preparation and control and staff leadership and educational training.
-Maintains Biochemistry Department website
-Maintains personnel, faculty, student and external partner listservs for dissemination of relevant information, policy changes and relevant communications.
-Coordinates with BioMed Communications office regarding the production other print and online materials.
-Prepares financial reports and projections regarding Department and Masters Program operating funds, in addition to endowed funds and/or gift funds at the request of the Fiscal Manager and Department Chair.
-Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:

-Experience in business management or administration of academic research programs providing budget development and organizational and logistics and edit support preferred.
-Proficiency with personal computers to include spreadsheet and word processing applications.
-Ability to work under own initiative, under pressure to meet deadlines and to be able to prioritize multiple tasks and demands.
-Strong communication, organizational, customer service and interpersonal skills
