The Department of Ophthalmology at Stanford University is seeking a Residency/Fellowship and Education Program Coordinator. Under the direction of the faculty education director, the coordinator will manage and prioritize program competencies to ensure that important deadlines are communicated and met. The coordinator will also supervise the education program assistant to ensure transactional tasks are completed. S/he will be able to identify and resolve issues and execute decisions within own work area. The coordinator will be responsible for the compliance and continued accreditation of education programs via the governing bodies (ACGME and AUPO) as well as the stewardship of the residents and fellows to meet programmatic requirements and milestones. The successful candidate will work with the GME office, clinic, hospital, and other satellite locations to successfully coordinate and facilitate the learning experience of incoming and current residents and fellows. Duties include:
  • Supervise program assistant to execute daily transactional duties. Manage residents and fellows for daily duty hours into MedHub, advocate speakers for lecture series, and independently oversee Clinical Call Schedule alongside Valley and SCVMC rotational schedules.
  • Ensure compliance with ACGME and AUPO for incoming rotations. Act on behalf of faculty education directors to communicate department administrative policies and program expectations.
  • Responsible for residency and fellowship accreditation renewal and compliance within the guidelines of AUPO and ACGME and other licensing and governing boards (AAO). Independently lead the process to ensure all residents, fellows, faculty, and affiliates have properly completed evaluation forms and then uploaded into GME database. Independently manage and execute project timelines, objectives, and trend data to faculty education directors to help shape future program curriculum. ACGME and AUPO progress reports milestone updates in national databases as well as reviews content for correctness and makes adjustments as required. Project manager when it comes to leading and conducting ACGME site visits, both special and regular.
  • Initiate and manage the annual SF Match process - update database and act as first-pass for incoming applications in addition to conducting a pre-screen candidate for interviews and invitation. Participate in candidate rankings and make recommendations to faculty directors for incoming cohorts. Responsible for loading selections into SF Match and initiating process for incoming cohorts for fellows and residents. Oversee SHC/LPCH credential process and work with credentialing coordinators and GME office to ensure all incoming cohorts are properly credentialed.
  • Maintain the residency curriculum, including competency-based goals and objectives for each assignment and each level of training.
  • Maintain recruitment database and oversee the application processes during the residency recruitment season.
  • Provide both administrative supervision and support to residents. Act as a liaison between residents and hospital administration when necessary. Establish relationships and act as a liaison to other hospitals, internal departments, and divisions regarding resident recruitment, orientation, annual program affiliation agreements, and external rotations.
  • Monitor Residency and Fellowship programs within pre-set department budgets and University guidelines. Manage regular events based on department budgets.
  • Plan departmental annual events, organizes meetings, assist in the preparation for ACGME Site Visits and internal reviews. Develop brochures, invitations, or advertisements for events/lectures. * - Other duties may also be assigned

  • ACGME and/or AUPO experience
  • Healthcare and University experience

    EDUCATION & EXPERIENCE (REQUIRED):

    Bachelor's degree and two years of relevant experience, or combination of education and relevant experience.

    KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
  • Ability to work independently and to coordinate multiple assignments with fluctuating priorities.
  • Excellent organizational and analytical abilities, ability to handle diverse workload.
  • Demonstrated good judgment in all areas of responsibility.
  • Agile and quick learner who can adapt easily to Stanford specific software and clinically related software.
  • Demonstrated ability to work well independently and take initiative while problem solving and resolving challenges.
  • Excellent oral and written communication skills. Ability to work with all levels of faculty and staff, and exhibit significant degree of diplomacy.
  • Excellent customer service skills and ability to adapt to changing work environment.
  • Proficient with Excel, Word and other applications required.
  • Ability to learn, understand and apply Accreditation Council for Graduate Medical Education (ACGME) or other subspecialties guidelines. PHYSICAL REQUIREMENTS*:
  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.

  • Occasionally will work on weekend events.
