Stanford University's Medical Center Development (MCD) Office seeks an experienced and collaborative Development Coordinator to support fundraising programs and activities for the Major Gifts team. You will work with frontline fundraising staff, program managers, internal partner teams, donors, volunteers, and other university staff to assist in establishing and maintaining relationships with all university constituencies. You will also exhibit patience, flexibility, sharp attention to detail, a high level of professionalism, a strong sense of priorities, and a superb level of tact and discretion.

Your responsibilities will include:

Administrative Management - 40%
  • Planning and scheduling complex calendars and resolve calendar conflicts with limited or no consultation.
  • Negotiating and managing the needs of individuals or teams requesting time with the gift officer, independently committing their time.
  • Tracking on key dates across the organization and institution.
  • Prepreparing agendas, taking meeting minutes, booking conference rooms, providing AV setup, and tracking on post-meeting follow up as needed.
  • Coordinating mailings to prospects and donors.
  • Verifying and processing financial reimbursements for the team.
  • Maintaining inventory of office supplies as needed.
  • Organizing electronic file management for gift officer.
  • Building a network of relevant contacts, and staying informed of current university initiatives and activities.

Portfolio Management - 40%
  • Retrieving, reviewing and updating information about prospects and donors; requesting assignments, and generating reports using the university external relations database.
  • Reviewing, tracking, and reporting on funds and gifts.
  • Attending, tracking and participating in quarterly check-in meetings with partner teams.
  • Assisting in the design, publication, and production of fundraising materials. Examples include correspondence, faculty bios and spotlights, briefings, and stewardship letters.

Event Support - 10%
  • Reviewing potential list of attendees for events with gift officers to ensure strategic attendance.
  • Supporting program managers and gift officers in the planning, implementation, and coordination of events not supported by our internal events management team. Could include coordination of event planning meetings, tracking attendees, catering, restaurant reservations, and on-site support such as attendee check-ins, directions, equipment set-up, and event parking.
  • For events supported by the internal events team, the development coordinator partner may: take notes and track high-level action items and agreements, schedule meetings with faculty, add key deliverable dates to the gift officers calendar, create and update prospect records, schedule pre- and post-mortem event meetings.

Special Projects - 10%

  • Coordinating travel for faculty and gift officers as needed for donor visits and/or conference attendance.

To be successful in this position, you will bring:
  • Bachelor's degree and one-year experience or combination of education and experience.
  • A demonstrated ability with Microsoft Office suite, especially Word and Excel.
  • Knowledge of database systems, such as Microsoft Access, Raiser's Edge, Salesforce.
  • The ability to work efficiently, juggle tasks simultaneously, meet deadlines, and achieve goals.
  • The ability to multitask and prioritize quickly and professionally in response to requests from clients.
  • Excellent interpersonal skills and ability to interact with a wide range of people.
  • Outstanding communication skills and exceptional attention to detail and follow through.
  • Valid California Noncommercial Class Driver's License

Physical Requirements:
  • Frequently perform desk-based computer tasks, sit, stand/walk, and use a telephone.
  • Occasionally light/fine grasping, lift/carry/push/pull objects that weigh up to 10 pounds, writing by hand.
  • Ability to obtain and maintain a California Noncommercial Class driver's license.
