Job Information

Job Summary:

Provide administrative support for the Executive Assistant to the Deputy Dean for Faculty of the University of Chicago Booth School of Business, this includes database supports, document creation, travel arrangements and payment processing.

This is a temporary position expected to last 3-6 months.

Responsibilities:

  • Update faculty recruiting records: updating data, uploading documents, and responding to applicants' e-mails.
  • Create files, reports, and letters from the recruiting database.
  • Copy and distribute candidate files for faculty as needed.
  • Assist with making travel arrangements, ordering meals, and distributing interview schedules for faculty candidates.
  • Assist in closing out annual recruiting season by preparing letters and reports and archiving applications.
  • Assist with greeting and guiding faculty candidates in a knowledgeable, collegial, and professional manner.
  • Process payments and reimbursements for all expenses for the deputy dean's office.
  • Reproduce and distribute materials for Appointments Committee meetings, sub-committees, and outside evaluators.
  • Process highly confidential correspondence to deans and faculty.
  • In the absence of the Executive Assistant, handle Deputy Dean's phone, appointments, and correspondence.
  • Provide reception and telephone coverage for Deans' office staff.


Additional Requirements

Education, Experience or Certifications:

Education:
  • Bachelor's degree required.


Experience:
  • At least three years of administrative support experience required, preferably in an academic environment for senior leadership.


Technical Knowledge or Skills:
  • Proficiency in Microsoft Office (particularly with Word and Excel) required.
  • Excellent customer services skills required.
  • Excellent proofreading ability and interpersonal and organizational skills required.
  • Proven ability to handle multiple tasks simultaneously required.
  • Ability to maintain perspective and work successfully under pressure and deadlines required.
