Position Summary: The Assistant Guest Services Manager (AGSM) reports directly to the Guest Services Manager (GSM) from the Office of Event Services for the Carolina Union. The AGSM is responsible for assisting in the training, supervision and evaluation of 60 student employees. This position is responsible for overseeing all evening functions of Guest Services in the Carolina Union and for reservations throughout campus made through the Office of Event Services. Duties include, but are not limited to supporting a dedicated box office and information desk; following up on event and shift reports; managing check in/out procedures for reservations; collecting and distributing mail; overseeing ticketing and admission control to reservations; managing deposits and paint cart reservations for the CUBE; assisting in invoicing; keeping staffs and resources current with University events and information; enforcing policies & financial compliance; supporting a building lost and found; maintaining office key and equipment check in/out; advising clients on events; supporting a lost and found; implementing emergency response training for events and general building use. RESERVATION COORDINATION & SUPPORT * Assist in coordination of all ticketing functions for events not limited to online sales, will call and comp tickets, reservation lists, consignment sales, and wrist banding; * Attends large events to provide support for student staff and clients; * Ensure that "check in and outs" are applied correctly to clients; * Update EMS notes and charges as needed to supply event related information. PERSONNEL SUPERVISION * Assist in hiring, training, supervising and evaluating 60 Admission and Guest Services student staff; * Supervise and train student supervisors to properly enforce disciplinary actions and to be directly involved with the actions taken and recorded; * Participate in performance management and development of part-time student staff. BOX OFFICE & INFORMATION DESK OPERATIONS * Ensure Box Office and Information Desk are open and staffed according to hours set by Carolina Union Leadership Team; * Maintain Box Office and Information Desk resources including, but not limited to, petty cash, ticket stocks, will call tickets, contracts, reservation lists, wristbands, bus schedules, paint supplies, brochures, and other Union materials; * Maintain a formal key issue/retrieval system for all public access to the Frank Porter Graham Student Union Building including 800 student organizations, administrative offices, meeting rooms, programming areas, as well as functional areas (e.g., supply closets, cabinets, etc.). UNION AND EVENT SERVICES MEETINGS AND GOALS SUPPORT * Keep the Carolina Union full time staff apprised of event outcomes, training curriculum and resources, changes in equipment statuses, and new services; * Provide nightly report of activities and accomplishments; * Resolve all issues related to Admission & Guest Services staffing and equipment discussed in event meetings and cited in shift reports. FINANCIAL SUPPORT & POLICY ENFORCEMENT * Ensure and review that all Health and Safety, Carolina Union and University Facilities Use Policies are adhered to by the reserving organization; * Enforce procedures and policies such as: Great Hall use, Pit use, SASB Courtyard use, ticketing, event safety, and University Facility Use Policy; making exceptions after consultation and approval from supervisor; * Assist in reconciling all Admission & Guest Services financial transactions in accordance with University standards including but not limited to daily deposits, check requests and Ticket Receipt Summaries. LEARNING AND PROFESSIONAL DEVELOPMENT * Inform supervisor of up-to-date information that will improve or expand technical services; * Attend workshops offered by the University and will share new ideas learned from these workshops; * Visit surrounding universities and organizations to share information and to learn new ideas.

Education Requirements:

Qualification and Experience: High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
