Advertised Job Summary: Job responsibilities include: Develops budgetary forecasts for multiple sponsored project accounts within the Educational Studies and Educational Leadership and Policies departments. Prepares fiscal reports and planning tools to assist faculty in post-award planning and execution of grant/contract expenditures Recommends alternative funding and spending options to faculty as new accounts are established and in preparation for grant close-out. All reports and paperwork will be provided to the College of Education's (COE's) Office of Grants and Contracts' Director for review and approval for processing. Works with the COE's OGC to document and monitor expenditures. Calculates and monitors the progress of all grant-related expenditures through the University system. Verifies the correctness of expenditures as they are posted and informs faculty when problems occur. Corresponds with appropriate personnel as directed by OGC Director to correct problems on accounts. Process all EDST and EDLP forms and expenditures related to procurement, services, and travel. Initiates, prepares, and submits grant-related paperwork to the COE's OGC. Maintains accurate records and copies of paperwork completed for EDST and EDLP. Makes Procurement Card purchases for EDST and EDLP as needed for grant/contract expenditures as requested and maintains documentation of purchases. Responsible for interpreting allowable expenditures per College and University Policies with accuracy and efficiency. Processes all faculty, staff, student, and temporary employee human resources paperwork and payroll documents required for grant/contract hires for EDST and EDLP. This includes preparing student offer letters, hiring student employees, verifying employment eligibility of new hires, completing hire paperwork for faculty and staff, and preparing salary account change documents as requested by faculty. Reviews and reconciles bi-monthly payroll expenditures. Verifies time and effort reports twice a year and provides the final signed copies to the OGC for certification. Submits human resources paperwork to the COE's OGC and maintains copies for EDST and EDLP. Serves as the EDST and EDLP contact for grant/contract hires in conjunction with COE's Human Resource Office. Assists the Director of OGC with duties as assigned. Duties include but are not limited to providing department-specific reports, completing required paperwork, attending OGC team meetings, and corresponding with sponsor, district, or university officials in a timely manner. Obtains and maintains necessary access to the following systems/processes: Peoplesoft, old accounting intranet, finance intranet, USCeRA, Procurement card, Data Warehouse, HR Module, and People Admin. Learns and stays up-to-date in all of the required systems and/or trainings to maintain access. Attends and provides support for all EDST and EDLP grant and contract launch meetings when new awards are made to discuss and make implementation plans for new awards. Must also attend follow-up meetings.
Minimum Qualifications (Classified and Unclassified positions): Master's degree and 1 year related experience in business, public administration or administrative services, or bachelor's degree and 3 years related experience; or equivalency.
