Position Information
The Executive Assistant provides executive level administrative support to the Vice Provost of Academic Personnel on a wide range of issues, projects, policies, procedures, programs and other matters relating to the Office of the Vice Provost. The incumbent functions as the first point of contact for the Vice Provost Office, responding to in-person, telephone, and email communications from internal and external constituents. The incumbent independently resolves routine issues; handles highly confidential and sensitive information with discretion and tact; and composes clear, grammatically correct and concise correspondence. Manages the Vice Provost's calendar, assuring meetings are accurately schedule, fully briefing and providing relevant background materials. The incumbent will provide administrative support in travel planning, purchasing, reimbursements, and account reconciliation.
Minimum Requirements
Ability to use high-level discretion and maintain a high level of confidentiality.
Advising and counseling skills.
Strong skills to communicate effectively with all levels of staff, faculty, alumni/donors, students and external constituencies, both verbally and in writing.
Strong service orientation.
Solid analytical/problem-solving skills.
Ability to multi-task with demanding timeframes.
Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
Preferred Qualifications
Knowledge of federal regulations such as FERPA.
Thorough knowledge of common organization-specific and other computer application programs.
Familiarity with the organization's processes, protocols and procedures.
