Job Description Summary:

The Administrative Coordinator for Facilities and Campus Development position is part of the Facilities & Campus Development team (FCD), within the Division of Operations at the George Washington University. Facilities is comprised of several units, including Energy & Environmental Programs, Facilities Maintenance, Facilities Projects, General Services, Property Management, & Relocation Services. Campus Development oversees units that operate and maintain university facilities, including but not limited to providing quality support services for the physical environment of the university, campus planning activities, construction projects, campus development projects, and oversight on building related regulatory matters. For more information, please go to our webpage: Facilities and Campus Development is searching for an Administrative Coordinator to support executive administrative activities for the FCD leadership teams. The Administrative Coordinator, FCD will report to the Supervisor, Operations Business Services. More specifically, the Administrative Coordinator will:

-Oversee the coordination of the daily administrative activities for FCD leadership teams to include: calendar management for FCD leadership and team coordination meetings, handling inquiries/requests independently within established procedures; developing monthly and special event on-call schedules. Assists with the planning and implementation of monthly, quarterly and annual departmental events, initiatives, and other special projects.

-Research departmental issues and gather information for the preparation of reports and other communiques to be used in meetings and presentations. Coordinate the distribution of approved correspondence to external customers and stakeholders.

-Serves as a conduit of information, ensuring that all teams have access to new and updated data, as this data becomes available. Attends FCD team coordination meetings, when appropriate. Works with internal and external committees and/or advisory groups to receive and provide feedback on problems and issues of concern to functional areas under the purview of FCD.

-Oversee the expediting of procurement contracts for FCD; interacts with other staff within the division, other university offices, and external sources to ensure that contracts are processed in a timely manner.

-Coordinate with project permit expediters to obtain various permits and licenses when GW manual check process is not an option.

-Oversee the issuance and inventory of team member uniforms; process uniform requests for new and current employees; coordinate with uniform provider on regular uniform delivery schedule; review and approve uniform invoice on a monthly basis.

-Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:

-Bachelor's or Master's degree in business administration or related discipline

- Administrative and/or customer service experience

-Experience managing administrative activities related to the construction and maintenance of University facilities is strongly preferred.

-Excellent interpersonal and communication skills with the ability to interact within a diverse university population.

-Proficient in Windows 7, Microsoft Office, Adobe, Google Drive, AiM, and other software programs that may be necessary to effectively support Facilities and Campus Development.

-Detail oriented with strong organizational and administrative skills. Ability to thrive in a fast paced environment with agility to multitask and desire to assume added responsibilities as needed.

Typical Hiring Range $22.28 - $28.98 How is pay for new employees determined at GW?
