This position is in the University Business Administrators Program located at the School of Dance.

Responsibilities

This position is the bill payer and purchasing/receiving representative for the School of Dance. Position serves as the Travel rep and acts as P-Card proxy for Dance. Position handles Foundation, Research Foundation and Sponsored Research processes. Position assists with grant related duties. In addition, this position provides customer service for the School's central office and is the back-up for payroll transactions. This position is also responsible for annual inventory taking duties.

Acts as Travel rep for the School of Dance. Ensures the propriety of the payments, compliance with prompt payment and other applicable laws, policies and procedures of the State of Florida and Florida State University. Manages related records. Responsible for coding P-card payments, collects and maintains receipts, prepares reconciliations and collects signatures.

Responsible for School of Dance FSU Foundation deposits, processes, and monthly tracking. Compiles Foundation reports. Responsible for FSU Research and FSU Sponsored Research transactions, accounting and reporting. Assists with new award processes, assists with closing out of an award and resolving issues related to grants.

Coordinates the purchasing functions for the School of Dance. Maintains requisitions and purchase orders in OMNI through closure including the periodic review of outstanding receipts and encumbrances.

Back-up HR transactional representative. Monitors biweekly time entry and coordinates with supervisors and employees to ensure all time is entered and approved correctly. Serves as the School's inventory taker.

Responsible for greeting and assisting visitors to the department's central administrative office, including faculty, staff, students and the public; and answering the departmental phone.

Qualifications

High school diploma or equivalent and four years of experience or post high school education and experience equal to four years.

Ability to communicate effectively verbally and in writing.

Ability to establish and maintain effective working relationships.

Ability to perform accurately in a detail oriented environment.

Experience prioritizing, organizing and performing multiple work assignments simultaneously.

Experience compiling, reviewing, and reconciling data for accuracy, completeness, and compliance.

Experience with Microsoft Office and basic computer functions.

Preferred

Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.

Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.

Knowledge of accounting systems and practices.

Anticipated Salary Range

Salary commensurate with experience.

Pay Plan

This is an USPS (University Support Personnel System) position.

Schedule

If not otherwise specified, schedule is M-F, 8-5.

Criminal Background Check

This position requires successful completion of a criminal history background check. The background check will be conducted as authorized and in accordance with University Policy 4-OP-C-7-B11.
