The Department of Physical Medicine & Rehabilitation has an opening for two full-time, University Staff (unclassified) Research Program Coordinator (Business Services Professional) positions.

Job Summary:
Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families. Functions include institutional research, statistical analysis, policy development and review, strategic planning and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services or job responsibilities that combine fiscal, HR and operational management responsibilities.

Professionals at the intermediate level are responsible for exercising discretion, analytical skill, personal accountability and responsibility in a wide range of areas including academic, adminCistrative, managerial and student services functions. Work involves creating, integrating, applying and sharing knowledge directly related to a professional field.

At the intermediate level, duties may be more limited in scope and are performed with guidance and direction from other professionals.

Position Emphasis:

The Department of Physical Medicine & Rehabilitation is recruiting for (2) Research Program Coordinator (1.0 FTE) positions to carry out duties related to business office and operational needs. The Department of PM&R includes research, clinical operations and the Physical Therapy Program. Our providers and staff work with both Pediatric and Adult populations to generate about $6 million in clinical revenue. We have approximately $5 million in various contract and research grants across all programs. Working under the direction of the Director of Business Development and Innovation, this role executes business office functions including, but not limited to procurement, reporting, project management and operational support. The individuals in these positions will serve as key professionals and resources between internal and external research departments and business office functions. These positions will create, monitor and conduct analyses on various components of clinical activities including procurement actions, grant data and research projects. Position requires individuals that have excellent communication skills, self-starters, innovative, with the ability to work autonomously, and must be flexible with the ability to maintain positive and professional working relationships.



Specific duties include, but are not limited to:

Procurement and Accounting:

  • Prepare financial summary reports for operational leadership.
  • Track and prepare monthly finance and procurement reports.
  • Track financial actions and participate in reconciliation activities.
  • Create funding tracking mechanisms.
  • Allocate and manage speed-types, SPO's and contracts.
  • Manage Fund 30 research projects.
  • Transact procurement activities in Concur related to grant activity.
  • Transact procurement and payables activities in CU Marketplace.
  • Assist Research Accountant with payroll expense transfers and journal entries related to grant activities.
  • Compile and submit invoices through CU Marketplace (procurement system)

Reporting:
  • Update PI dashboards, print reports, prepare minutes and share resources.
  • Track daily activities and projects in SharePoint.
  • Track and report PI productivity (publications, grant funding).
  • Pull data and prepare research scholarly activity reports.

Operations and Project Management:
  • Provide daily support and operational oversight for assigned PI list.
  • Support study specific human subject daily activities (Greenphire, CU Marketplace, gift cards).
  • Complete SharePoint workflow tasks and grant data updates.
  • Maintain and complete recurrent research tasks and ad hoc requests.
  • Update PI dashboards, print reports, prepare minutes and share resources.
  • Maintain folder conventions and file structure for the Research Team.
  • Schedule meetings and calls with PIs.
  • Coordinate PI Quarterly Brownbag meeting.
  • Prepare weekly Research meeting agenda and complete and distribute minutes.
  • Schedule and prepare for quarterly PI dashboard meetings.

Salary and Benefits:

The hiring salary for this position is negotiable and commensurate with skills and experience. This position is not eligible for overtime compensation.

Qualifications


Minimum Qualifications:
  • Bachelor's degree in project management, public health, health administration, business administration or accounting or directly related field from an accredited institution.
  • One (1) year of professional level experience providing support to leadership, which included managing projects in an academic, medical, or equivalent environment.

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis, but not for the specific experience.

Preferred Qualifications:
  • Data management experience, which included tracking, compiling and generating reports.
  • Experience providing support and working with Principal Investigators (PI) and grant research projects.
  • Experience working with SharePoint.
  • Experience tracking and preparing monthly finance and procurement reports.

  • Attention to detail and project management skills.
  • High levels of accountability and accuracy.
  • Knowledge and skill in the use of computer systems and software; knowledge of information data systems and the expertise to adapt them to support the clinical training programs.
  • Ability and skill in establishing and maintaining effective working relationships with department faculty, staff, and University personnel across a complex, wide and diverse environment.
  • Strong verbal and written communication skills.
  • Skill in using independent judgment and discretion and deciding upon procedures to be implemented, setting priorities, maintaining standards, and resolving problems.
  • Ability to manage and perform a variety of complex assignments with considerable independent judgment and motivation.
  • Must be able to function professionally and maintain extremely high levels of confidentiality relating to pay and other personnel issues.
  • Strong prioritization, planning, inter-personal and organization skills.
  • Ability and willingness to work both independently and in a team environment.
