Conference Services at the University of Virginia seeks a highly organized, energetic, and experienced events professional for the position of Assistant Director of Summer Conferences. [email protected] hosts over 10,000 guests every summer, including enrolled UVA summer students, and visitors both adult and youth who come to UVA to attend sports camps, education programs, internships and other summer enrichment programs. These guests reside in on-Grounds housing during their programs, bringing in close to $3 million in revenue. The Assistant Director oversees the summer business operation. They coordinate the re-purposing of the university's undergraduate housing inventory during the summer months for use by these programs, working with both UVA departmental programs and external organizations to find housing to best meet their needs, and assist with other related event services, such as dining, parking and reservation of meeting and classroom space.
The Assistant Director is responsible for year-round leadership, mentorship, management and training of our student staff, overseeing the recruitment, hiring, training, professional development and evaluation of over 30 summer student staff and summer interns. This position includes an intense 12-week summer cycle and requires the ability to adjust to a flexible work schedule and a willingness to go the extra mile, especially during the mid-May through mid-August summer conference season. This includes the need to work some weekends, holidays and after-hours during this time.
A Bachelor's Degree is required, preference will be given the applicants with a Master's Degree in Higher Education, Hospitality Administration, Student Development, Business Administration, or related field. At least 1 year of previous work experience in event management or planning is required, as is is work experience in a higher education setting that involved the supervision of students teams. Operational and logistics experience in a fast paced and diverse environment focused on event planning is required. Applicants must demonstrate excellent oral and written communication skills and strong interpersonal skills. A proven ability to build, lead, motivate and assess student teams is essential. The demonstrated ability to cultivate collaborative business partnerships is required. The ability to apply moderately sophisticated data management systems to fiscal and operational information is required. Applicants must be able to address and resolve conflict and intervene in crisis situations. Intermediate computing skills, and proficiency in Microsoft Office, and the ability to learn new software quickly is required. Preference will be given to applicants with at least 2 years of work experience in a similar summer conference services operation. Applicants with knowledge of summer conference operations at the University of Virginia are highly encouraged to apply. Intermediate to advanced computing skills with StarRez Housing software, other similar housing software, CS Gold or similar access control software, and event management and registration software is preferred.
